We are seeking an experienced Admin Assistant to provide advanced administrative support to a VP and team within a fast-paced, professional environment. This role involves a blend of traditional administrative duties and coordination of project activities. The ideal candidate is proactive, organized, and capable of handling confidential information with professionalism.
Key Responsibilities:
- Manage calendars, schedule meetings and travel (domestic/international), and handle email correspondence
- Coordinate project activities and departmental initiatives under the direction of the VP and Operations Director
- Prepare presentations, business documents, meeting materials, and reports
- Process expense reports, manage billing, and schedule couriers
- Assist with onboarding new employees and organizing office setups
- Interact professionally with high-level executives and cross-functional teams
- Proactively identify and resolve scheduling conflicts
Required Qualifications:
- Associate Degree required; Bachelor’s Degree preferred
- Minimum 5 years of experience in an administrative support role, preferably supporting VP-level executives
- Strong written and verbal communication skills
- Self-starter with problem-solving ability and strong organizational skills
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), Adobe Acrobat
- Ability to manage multiple priorities and maintain confidentiality
