Facility Overview
At Ocean View Psychiatric Health Facility, we are committed to serving as a community resource, providing the highest quality of mental health services. Currently, Ocean View operates as an adult 39-bed voluntary acute in-patient facility, offering private rooms and individualized care through a multi-disciplinary approach focusing on compassionate care and best practices. We also provide Intensive Outpatient and Partial hospitalization services to ensure a continuum of care after acute stabilization. We are currently in the process of expanding our Long Beach facility to 80 beds and pursuing LPS designation. Additionally, our expansion plans to other areas are progressing rapidly, and we anticipate that our Colton Location in San Bernadino County, will be operational by the end of 2025.
Position Overview
We are seeking an Outreach Analyst to support our company’s business development, marketing, and outreach efforts. This role is responsible for analyzing data to measure and enhance the effectiveness of outreach, referral relationships, marketing campaigns, and admissions strategies. The ideal candidate will be data-driven, highly analytical, and skilled in leveraging CRM tools to optimize marketing efforts. This role offers exposure to various business processes across the hospital, collaborating with Outreach, Intake, IT, Finance, Operations, and other departments.
Key Responsibilities
CRM & Data Management
- Administer, optimize, and maintain the CRM platform, ensuring accurate data collection and utilization.
- Design and maintain dashboards, reports, and analytics to provide insights into outreach and marketing effectiveness.
- Ensure proper tracking of referral sources, patient demographics, and marketing campaign performance.
- Develop automated reports and data visualizations to track key performance indicators (KPIs).
Marketing & Outreach Analytics
- Compute and analyze data trends for admissions, outreach performance, referral patterns, and census trends.
- Identify high-performing referral sources and opportunities for regional growth.
- Conduct segmentation analysis to develop targeted marketing lists for email, direct mail, digital campaigns, and outreach calls.
- Assess marketing channel effectiveness, including traditional, digital, and alternative advertising efforts.
- Track, measure, and interpret customer engagement data to refine outreach efforts.
Referral & Business Development Support
- Identify trends in referral behaviors and admissions, offering data-backed recommendations to improve engagement.
- Provide insights to the Outreach and Intake teams to improve referral conversion rates.
- Analyze physician, provider, and community engagement efforts to optimize relationship-building strategies.
- Support business development by identifying new potential referral sources and evaluating outreach effectiveness.
- Monitor competitor activity and market trends to inform outreach and marketing strategy.
Process Improvement & Strategic Initiatives
- Identify inefficiencies in outreach and intake processes and recommend data-driven improvements.
- Assist in developing standardized procedures for tracking and reporting outreach performance.
- Work with IT to enhance call tracking capabilities and data integration.
- Collaborate with finance teams to assess the financial impact of outreach and marketing strategies.
- Develop forecasting models to predict future admissions trends based on historical data.
Qualifications
- Bachelor's degree in Marketing, Business, Data Analytics, Healthcare Administration, or a related field.
- 5 years of experience in healthcare marketing analytics, business intelligence, CRM administration, and/or business development (behavioral health preferred).
- Experience with CRM platforms such as Salesforce, HubSpot, or a healthcare-specific CRM.
- Strong proficiency in Excel (pivot tables, VLOOKUP, data visualization, etc.).
- Experience with data visualization tools such as Tableau or Power BI is a plus.
- Understanding of digital marketing metrics, Google Analytics, and SEO concepts.
- Experience analyzing referral trends and outreach efforts in a healthcare or hospital setting preferred.
- Strong analytical and problem-solving skills with the ability to interpret complex data sets.
- Excellent verbal and written communication skills to convey insights to both technical and non-technical stakeholders.
- Self-motivated and able to work independently with minimal supervision.
- Familiarity with HIPAA compliance and patient data privacy best practices is a plus.
