Mandala School is seeking a friendly, organized, and detail-oriented Front Desk Administrator to join our team. This key position serves as the first point of contact for parents, staff, and students, ensuring a positive and professional experience for everyone who interacts with our school.
Responsibilities:
- ABA Scheduling: Coordinate and manage the Applied Behavior Analysis (ABA) schedule for students.
- Tuition & FACTS Management: Oversee tuition payments, process monthly payments, and manage accounts via the FACTS system.
- Scholarship Management: Assist with the administration of scholarships, ensuring timely processing and professional communication.
- Compliance: Monitor and maintain all facility operations are following federal and state laws, including fire inspections and school credentialing.
- Adherence: Monitor and maintain all student and family files and paperwork are following policies and procedures handbook guidelines.
- Administrative Support: perform clerical and administrative tasks in support of supervisory personnel in handling of daily operations.
- Organization: Must have very detail oriented organizational skills, maintain a clean, clutter-free environment, and maintain efficient filing systems.
- General Front Desk Duties: Demonstrate and promote exceptional customer service skills, greeting students, parents, staff and visitors in a courteous manner and making every effort to address and resolve issues efficiently.
- Communicate: Must interact politely and professionally, and communicate effectively with public, staff, families, and administrators.
- Collaboration: Work closely with parents, teachers, and other staff members to ensure smooth operations and communication across the school.
- Marketing: Gather content, assist with marketing responsibilities and weekly newsletter.
- Compose: Create and edit routine correspondence, including forms, flyers, reports, permission slips, and other materials. Must be proficient in Canva and Microsoft word.
- Coordinate: Planning school events, attend class field trips as needed, transport students, and oversee materials and supplies needed to support events.
- Student Care: Provide basic first aid to students and administer medications.
- Administrative Support: perform clerical and administrative tasks in support of supervisory personnel in handling of daily operations.
- Special Olympics: must plan and coordinate all special Olympic events and maintain school certification and credentialing.
- Participate: School events, community outings, and staff trainings.
Requirements:
- Friendly and approachable personality, with the ability to build rapport with students, parents, and staff.
- Excellent organizational skills and attention to detail.
- Ability to multi-task in a fast-paced environment.
- Experience with administrative tasks and office management preferred.
- Proficiency in ABA scheduling, tuition management systems (FACTS), and scholarship processes is a plus.
- Strong communication skills, both written and verbal.
- Valid Driver’s license and car insurance.
Job Type: Full-time
Pay: $45,000.00 - $55,000.00 per year
