What are the responsibilities and job description for the Front Desk Administrator position at ICX Group?
- Assist the estimating team with daily administrative duties, ensuring all processes are running smoothly.
- Handle phone calls and emails, addressing inquiries or directing them to the appropriate individuals.
- Attend regular team meetings and record accurate notes, documenting key points and actions.
- Regularly update the weekly bid list and ensure CRM data is accurate and up-to-date.
- Download, organize, and manage plans and specifications from relevant databases.
- Contact General Contractors (GCs) to collect missing information for ongoing bids.
- Enter proposal details into online portals to ensure timely submission.
- Monitor bid lists for any changes, addendums, or updates, notifying the estimator accordingly.
- Manage and update the estimating team’s bid calendar in Microsoft Outlook.
- Complete necessary contractor prequalification forms as part of the bidding process.
Key Skills and Qualifications:
- Strong command of Microsoft Office Suite (Excel, Word, Outlook).
- Experience with Adobe and/or Bluebeam software for managing plans and documents.
- Familiarity with CRM systems and data management.
- Basic mathematical abilities to support bid calculations and tracking.
- Excellent verbal and written communication skills for collaborating with the team and external stakeholders.
- A keen eye for detail, ensuring accuracy in all tasks and documentation.
