The Chemistry, Exercise Science and Sports Studies, and Nutrition departments at the College of Saint Benedict (CSB) and Saint John’s University (SJU) invites applications for a full-time (0.83 FTE), benefit-eligible position of Department Coordinator.
The Department Coordinator plays a critical role in the success of the department by assisting the department chairs, faculty, and students in various capacities. These responsibilities generally include office management, communication and event support, budgeting, and supervision of student employees. This position is located on the College of Saint Benedict’s campus and requires regular, in-person availability Monday-Friday.

Office Management Duties (30%):
- Recruit, hire, train, schedule, and supervise student employees for the departments.
- Purchase, monitor, and maintain each departments’ office tools and supplies as needed.
- Maintain the copy and testing machines to ensure they are in working order.
- Submit maintenance requests for the departments.
- Coordinate and maintain inviting departmental spaces for each department.
- Maintain data storage for each department.
- Prepare new faculty members’ offices for their arrival, ensure new faculty members have all the necessary supplies in their office before the start of the academic year.
Supporting Department Chair and Department Work (30%):
- Assist faculty, visiting guests, and job candidates with timely submission of reimbursable expense documentation.
- Support department chairs by maintaining advising lists and department files, and reviewing staffing grids.
- Support faculty assessment efforts:
- Collect materials for annual assessment.
- Collect data for on-going review (such as alumni/alumnae placements in professional programs and graduate schools).
- Update and maintain appropriate distribution mailing lists for announcements to major and minor students, faculty, student work staff, alumni/alumnae, and affiliated departments.
Budgeting (20%):
- Manage each department’s budget, including:
- Provide timely updates of department budget status to Department Chairs.
- Research and purchase office and lab items.
- Allocate P-card purchases and reconcile statements.
- Place and manage orders and expenditures.
- Ensure supporting documentation of receipts are collected in accordance with the reimbursement and travel guidelines.
Communications and Event Support (20%):
- Schedule and plan events for the department
- Coordinate scheduling of travel, accommodations, and public events for visiting guests, and conferences sponsored by the departments
- Update and maintain department websites and social media platforms
- Post-secondary education or 2-3 years related experience.
- Experience working in an office setting, managing multiple priorities, and tracking budgets.
- Experience coordinating events and maintaining website/social media channels.
- Attention to detail and accuracy with strong organizational skills.
- Ability to maintain professional standards of confidentiality.
- Excellent written, oral, and interpersonal communication skills.
- Ability to work, prioritize tasks, and problem-solve independently with limited supervision.
- Open to incorporating feedback into projects and responsibilities.
PHYSICAL REQUIREMENTS:
- Ability to perform essential job functions, with or without reasonable accommodations.
- Significant keyboard and computer use, prolong sitting, and occasional standing.
- Ability to occasionally lift up to 25 pounds.
TRAVEL REQUIREMENTS:
- Some travel between the campuses of College of Saint Benedict and Saint John’s University.
