POSITION OVERVIEW
Reporting to the General Counsel and Chief Administrative Officer (CAO), the Senior Administrative Assistant will primarily support the CAO and their team by providing day-to-day, cross-functional, administrative support. They will be responsible for handling activities including scheduling and catering meetings; coordinating travel; creating / managing PO's and contracts; handling CAO team projects that may require administrative support; and providing administrative support for our contract management system. In addition, this role will assist with managing some of the day to day office needs as necessary. This individual must be a self-starter and be able to manage multiple priorities independently in a dynamic fast-paced environment.
RESPONSIBILITIES
- Manage executive calendars including scheduling and responding to invitations; prepare correspondence and manage email priorities as needed
- Schedule, and coordinate internal and external meetings, participate in and document meeting minutes; follow up and liaise between meeting participants
- Support the administration of our contract lifecycle management (CLM) system, including operating as a "super-user" with administrative privileges; identifying and implementing, together with external vendors, improvements to the CLM system; and assisting colleagues across the organization with administrative challenges involving the CLM system.
- Support projects for Executive Committee members served, e.g. additional support during post-transaction integration processes; implementation of new systems or processes; support of new HR initiatives.
- Required skills, in order to support the above, include strong problem-solving skills; learning agility when confronted with new and / or unexpected information and challenges; ability to work independently, with limited guidance / supervision, while generating high-quality work.
- Coordinate travel and other administrative tasks for Executive team members
- Exercise tact, diplomacy, and an understanding of organizational issues and impact. Handle confidential material and information with discretion
- Manage Expense Reporting in a timely and compliant manner
- Prepare and edit presentations, spreadsheets, documents, and other materials
- Participate in the Administrative Committee to ensure alignment across the administrative support team. Provide backup coverage for other executive administrative support staff.
- Coordinate catering for on-site critical meetings
- Help plan and execute site events
- Act as the site's "go-to-person" for general office needs

Pay Range$97,574—$110,305 USD
