Job Summary
Provides responsible administrative and clerical support for an assigned division. Work involves preparing and processing varied administrative documents and public relations functions; preparing a variety of operational documents, forms, reports, records and summaries; entering data and retrieving information from division databases; and maintaining automated and manual files.
Essential Functions
- Performs a variety of administrative and public relations duties for the division to include writing press releases, web content,,marketing materials and a variety of division documents. Coordinates journalist itineraries including activities and accommodation details; tracks expenditures; prepares budget amendments.
- Prepares and/or reviews procurement and payroll documents. Oversees and/or performs data entry for media monitoring programs, website administration and social media content calendars. Reviews expense reports and processes for payment.
- Plans promotional activities, special events and supports tradeshow and conference planning.
- Establishes and maintains division personnel files. Prepares Information Technology (IT) forms to enable new division employees to have access to the County information systems.
- Serves as liaison between assigned division and support services departments. Reviews and/or prepares executive summaries, ordinances, resolutions, requests for legal services and other documents. Prepares operational and marketing reports, generates internal and external correspondence, and other materials upon request.
- Enters data into division databases, to include information from administrative functions and from operational/program activities.
- Reviews and summaries a variety of public relations, fiscal, statistical and administrative information. Prepares statistical summaries and narrative reports.
- Establishes and maintains automated and manual records and files.
- Provides assistance and information to internal and external callers and visitors regarding the destination, its programs and services and the administrative support
- Performs special projects as assigned including digital, social media and marketing campaigns. Assists with marketing and communications functions that support tourism efforts in Collier County.
- Makes travel arrangements and reservations; and maintains calendars for management staff or conference rooms
Minimum Qualifications
- High School Diploma or GED.
- Two (2) years of related experience.
- Fingerprinting required.
Supplemental information
- Essential Employees may be required to work during an undeclared or declared emergency. The County’s Administrative Office will determine who will be required to work on an incident-by-incident basis.
