What are the responsibilities and job description for the Executive Assistant position at Colliers Engineering & Design?
Colliers Engineering & Design is seeking an Executive Assistant that will provide executive level administrative support to the Chief Revenue Officer.
Responsibilities
- Manage the calendar of, and coordinate all meetings and activities, including travel, for the CRO, serving as primary point of contact and gatekeeper.
- Track action items and minutes from meetings, following up promptly as appropriate expediting results.
- Pro-actively support the CRO by anticipating needs and next steps, resulting in efficient and effective workflows.
- Maximizes the CRO's time by reading researching, and routing correspondence, drafting/reviewing letters and documents, collecting, and analyzing information and initiating communications.
- Pro-actively lead efforts to support to the CRO in their role as Office Lead for the Holmdel office (Headquarters), including involvement with office events.
- Use, and enforce use, of Colliers Engineering & Design standards with all staff, including proper file structure, use of templates, file naming conventions, etc.
- Handle confidential M&A, financial, and leadership information and coordinate activities related to same as requested.
- Establish & maintain positive relationships internally and externally, support and build others on the team and across disciplines/offices.
- Be responsive to others and share information to improve efficiency and help others achieve goals; listen and engage in productive and critical debate.
- Organize large corporate meetings, assist with participant and curriculum coordination. Attends functions when necessary.
- Serve as a point of contact in Executive's absence.
- Performs additional tasks as assigned.
Qualifications
- Associates Degree/Vocational or related education.
- Ten (10) plus years supporting leadership or executive positions.
- Experience working in the AEC industry or similar professional services industry.
- Ability to read, write and understand English for purposes of comprehending written job-related communications and verbal instructions and interactions.
