Job Purpose
The Procurement and Logistics Coordinator manages the procurement of raw materials and oversees the shipping and receiving processes for deliverables within the prefab department. In addition, this role entails taking charge of prefab purchasing responsibilities and providing support to the broader purchasing department as required. This position plays a pivotal role in ensuring timely acquisition, efficient distribution, delivering outcomes promptly to avoid project timeline disruptions, and actively participating in the ongoing improvement of purchasing and logistics processes.
What You'll Do
- Cultivate and enhance relationships with buyers and vendors to ensure positive and collaborative partnerships.
- Timely communication with buyers and vendors
- Receives positive feedback semi-annually from buyers and vendors.
- Conduct research for materials with special applications or specifications.
- Collaborate with vendors to facilitate Return Goods Authorizations (RGAs).
- Timeliness of RGA completion.
- Ensure 95% of RGAs are processed and authorized within 7 business days.
- Vet vendor quotes and determine optimal pricing for all prefab purchases.
- Oversee prefab commodity pricing and stock locations.
- Pricing accuracy and competitiveness meets expectations.
- Process material requests by submitting requests to vendors.
- Ensures timely processing of requests.
- Material requests are submitted on the same day they are received or by the next business day if submitted after 2 pm.
- Manage the labeling, storage, and logging of materials.
- Apply backstock of excess materials to current or new projects for material cost savings.
- Utilization of backstock achieves a 5% reduction in material costs.
- Coordinate transportation and manage the delivery of prefabrication deliverables.
- Timely completion of delivery processes.
- Ensure 95% on-time delivery of prefabrication deliverables.
- Check-in material shipments and perform back checks on materials.
- Manage back orders and regularly communicate order status with the prefab manager.
- Enter purchase orders (POs) into the accounts payable system.
- Ensure that 95% of incoming material shipments are checked-in and back checks are completed within 24 hours of receipt.
- Maintain back-order resolution by communicating updates to the prefab manager within 48 hours of identification.
- POs are entered in a timely manner.
- Manage the return of all shipping containers and equipment.
- Containers and equipment are set up for return within 48 hours of request for pick-up.
- Generate monthly reports on prefab quality issues for vendor communication.
- Document and communicate material issues to vendors.
- Implement and maintain quality control measures for prefab materials.
- Achieve a 98% accuracy rate in printing material requisitions and filing for check-off within 48 hours of material receipt.
- Generate monthly reports on prefab quality problems aiming for a 10% reduction in identified issues within six months regarding internal quality matters.
- Address and resolve 100% of identified quality issues within 10 business days of discovery.
- Effectively executes additional job-related tasks and purchasing functions as assigned by management and ensures thorough and timely completion.
- Accountable for leading efforts in implementing continuous improvement initiatives and methodologies to improve processes and increase efficiency.
- Participate in CECI Continuous Improvement events as needed (ex: JDI, RIE & A3's).
- Maintain SOP’s (Standard Operating Procedures) for compliance practices and other associated functions.
- Successfully leads and executes continuous improvement initiatives, resulting in enhanced processes and increased operational efficiency.
- Actively engages during CECI Continuous Improvement events (ex: JDI, RIE & A3's).
- Timely and regular updates of Standard Work (SW) and Standard Operating Procedures (SOPs).
- Demonstrates and represents company core values in daily actions, interactions, and decision-making processes.

- Familiarity with procurement and inventory management software, such as Enterprise Resource Planning (ERP) systems.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and other relevant tools for data entry, reporting, and documentation (Manufacton, Spectrum, MMI, Power Order).
- Certified to use a forklift.
- Knowledge of supply chain management principles, including vendor vetting, contract negotiation, and logistics coordination.
- Knowledge of quality control standards and practices in procurement and prefabrication.
- Ability to cultivate and maintain positive, collaborative partnerships with diverse stakeholders.
- Keen attention to detail for managing stock levels, inventory, and material requests.
- Ability to make data-driven decisions that enhance efficiency and cost-effectiveness.
