What are the responsibilities and job description for the Office Administrator position at Coln Construction?
Coln Construction is seeking a motivated and detail-oriented Office Administrator to join our team. This role is a part time position, but a vital part of ensuring the success of our custom luxury home building projects, working in our office to oversee day-to-day activities, and supports the team by making the office run efficiently.
Responsibilities : Communication
Answer the phone and field calls appropriately
Reply to admin emails
Document Management
Print and stamp all incoming invoices
Email, update and maintain vendor COIs and W-9s on the company’s project management software
Print, save and update quote information on a spreadsheet
Document management for meeting notes, plans, etc. and creating action items in the company’s project management software for the team.
Scanning and filing all invoices.
Data Entry and Reporting
Enter data into project management software
Run weekly and monthly reports from the project management software
Qualifications
Education & Experience
High school diploma
Previous experience in residential construction or similar environment is preferred.
Skills
Detailed oriented
Friendly and likes to work with a small team
Experience with or ability to learn project management software (e.g., Buildertrend, Procore) and Microsoft Office Suite (preferred).
Self-motivated and able to manage daily responsibilities independently.
