What are the responsibilities and job description for the Governing Board Liaison position at Colorado Early Colleges?

The Contractor shall provide independent governance support services to CECs Governing Board, including but not limited to the following assignments:
2.1 Governing Board Liaison
- Prepare and distribute agendas, minutes, and board meeting packet materials for board meetings.
- Maintain accurate records of board resolutions.
- Attend meetings with CEC CEO and Boards Executive Committee to develop monthly meeting agendas and provide updates on assigned projects.
- Maintain regular communication with the Board President, Boards Executive Committee, and CEC CEO.
2.2 Meeting Coordination & Minutes
- Attend board meetings and accurately record minutes, documenting decisions and action items.
- Prepare and distribute official minutes and summaries of Board meetings.
- Follow up on action items to ensure completion.
- Collaborate with the Boards Executive Committee and CEC CEO to organize the Boards annual retreat, including agenda planning, logistics, and board packet preparation.
2.3 Board Administrative Support
- Attend Board meetings to provide administrative support and ensure compliance with legal requirements for public notice of Board meetings.
- Maintain and update the annual board meeting calendar.
- Organize and maintain CEC Governing Board records.
- Prepare monthly Board agendas aligned with the annual Board Action Calendar.
- Assist the Board President in communicating with Board members, the CEO, and the CEC community.
- Conduct research on governance matters as requested by the Board.
2.4 Additional Tasks & Projects Based on Board Goals
- Manage the Keith King and Presidents Scholarship Award Process.
- Develop and maintain a Board Orientation Handbook and related governance documents.
- Propose a Board Training Plan, including recommended governance seminars and educational policy updates.
- Develop an Onboarding & Orientation Plan for new Board members.
- Draft a Board Member Recruitment Plan to attract high-quality candidates.
- Create a Board Officer Succession Plan.
- Support the Boards Executive Committee in the appointment and election of Board members, including compiling candidate materials and managing voting procedures.
- Compile historical governance data, including officer tenures, past meeting agendas/minutes, and prior Board initiatives.
