Overview and Scope of Team and / or Tasks

The Scholarship Programs Coordinator is accountable for thedaily operations and coordination of all scholarship processes at CMU. Thisincludes managing institutional, donor, merit, and external scholarship fundsby administering applications, awarding scholarships, and monitoringeligibility and compliance. The role requires collaboration with stakeholderssuch as the CMU Foundation, Admissions, and academic departments to ensurescholarship processes align with institutional policies and federal financialaid regulations. Other duties may be assigned as needed.

Key tasks include :

  • Managing and awarding scholarships using Banner, and Academic Works (Blackbaud).
  • Preparing and marketing scholarship applications.
  • Overseeing scholarship committees and reviewers.
  • Monitoring compliance with scholarship eligibility criteria.
  • Acting as the lead liaison between Financial Aid, Accounting, Admissions, and the Foundation.
  • Supervising assigned student employees.

Accountability to Results

The Scholarship Programs Coordinator is accountable fordelivering outcomes and results aligned with the following metrics :

  • Scholarship Administration : Timely and accurate application review, awards, and fund reconciliation.
  • Compliance : Ensuring adherence to institutional and federal scholarship policies.
  • Communication : Maintaining transparent and effective communication with students regarding scholarships.
  • Stakeholder Collaboration : Fostering positive relationships with internal and external partners.
  • Process Improvement : Identifying and implementing strategies to enhance scholarship efficiency.
  • Metrics for success include :

  • Completion of annual scholarship awards within deadlines.
  • Accuracy in reconciling and awarding scholarship funds.
  • Positive feedback from students, staff, and faculty regarding the scholarship process.
  • Effective implementation of process improvements.

    Capacity Requirements

  • Knowledge of financial aid policies, particularly those relating to scholarship administration.
  • Strong project management skills to oversee multiple complex processes.
  • Exceptional communication and interpersonal skills for counseling, presentations, and stakeholder collaboration.
  • Capacity to handle peak workloads during high-demand periods.
  • Proficiency in Academic Works, Ellucian Banner, and standard office software.
  • Essential Experience for Right Fit

    Required :

  • Bachelor's degree from an accredited institution.
  • Minimum of two years of experience in student or financial services, funding administration, or database management.
  • Experience in demanding customer service environments requiring attention to detail.
  • Preferred :

  • Master's degree and two years of experience in financial aid.
  • Bilingual fluency in Spanish.
