Summary/Objective
CNS is seeking a detail-oriented and proactive Administrative Specialist to provide critical support to our client’s day-to-day operations. This role plays a key part in coordinating personnel provisioning, travel arrangements, supply orders, scheduling, and office workflow. Essential Functions

Manage administrative tasks such as personnel provisioning (Taleo), travel coordination, supply ordering, and scheduling via Outlook.
Coordinate the creation and distribution of internal communications including newsletters, presentations, and digital postings for websites.
Process confidential personnel documents and ensure compliance with administrative and HR protocols.
Maintain and manage detailed, high-volume, or sensitive records and filing systems.
Provide administrative guidance to colleagues; may assist with onboarding or procedural training.
Sort, prioritize, and route incoming correspondence, publications, and directives.
Track contract processes and act as a liaison with vendors and external partners.
Respond to public inquiries, explain organizational policies, and direct stakeholders to the appropriate personnel.
Ensure timely collection, review, and verification of critical documentation.
Prepare and distribute professional correspondence including reports, memos, and letters.
Generate and format detailed reports, spreadsheets, RFPs, and other business documentation.
Support meeting and event coordination, which may include ordering supplies and arranging logistics.
Contribute to continuous improvement efforts by assisting with process optimization projects.
Promote a safe and compliant workplace by adhering to health and safety policies.

Work Environment & Physical Demands
Most of the work will be done in general office conditions. Work is fast paced and requires interaction with the public. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8am-5pm.
