POSITION SUMMARY:
The Office Administrator assists in the areas of Accounting, Client Services, Operations, and general office and administrative support. This position contributes to the logistical and administrative support and helps support the implementation of policies, procedures, events, and processes that support organizational success.
SALARY RANGE AND BENEFIT SUMMARY:
The salary range for this position is $38,000 to $45,000 depending on experience.

ESSENTIAL JOB RESPONSIBILITIES:
Office Management
- Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
- Answer, screen, track, log and forward incoming calls
- Manage printers, copiers, and postage meter usage
- Send & retrieve/distribute daily mail and faxes
- Maintains office security by following safety procedures and controlling access via the reception desk
- Coordinates building maintenance activity
- Orders office and canteen supplies and keeps inventory of stock
- general daily office/canteen maintenance and management
- Assists in regular accounting vendor payment cycle
Staff Administrative Support
- Update office calendars and schedule meetings as needed
- Manages staff and board member birthdays and other special recognition efforts
- Maintains staff lists and tracks employee calendars
- Takes lead in scanning documents as well as destruction of files as determined by management
- Perform other administrative duties such as filing, photocopying, and support of all staff
Client Services Support
- Respond to phone calls, website contacts and e-mails from participants, employers and vendors
- Work with Customer Service Managers to provide new employee packets as needed by participating employers
- Input data, track and maintain differing databases as requested
Operations Support
- Work with incoming Rollover Specialist to track incoming and outgoing paperwork, updating Salesforce tasks and updating spreadsheets used for tracking rollovers
- Work with Death Benefit/QDRO Specialist on tracking incoming and outgoing documents
- Assist with yearly special projects performed by entire operations group

QUALIFICATIONS, KNOWLEDGE, & SKILLS REQUIRED
- High school diploma or equivalent
- 1-2 years of general administrative and office support experience
- Proficient computer skills-Microsoft Office programs including Word, Excel and Outlook
- Experience with Salesforce a plus
PHYSICAL REQUIREMENTS/WORKING CONDITIONS:
- Ability to drive and make office errands, as needed
- Ability to lift 30 pounds
