Medical Office Administrator
Prosthetic Illusions is a small medical office specializing in Anaplastology; the creation of facial prostheses, ocular and somatic prostheses. As our office administrator, you will be one of the first impressions of our company and instrumental in assisting for the the day-to-day operations to run smoothly. Primary functions include patient intakes, coordinating and reviewing medical insurance and billing, scheduling appointments and clearly communicating financial responsibilities with patients. It is vital our office administrator has a high regard for courtesy and detail. The right candidate excels in analytical thinking and problem solving and sees tasks through to the end. Responsibilities include:
- Assist with day to day operations of the office such as patient communications, billing, and scheduling
- Welcome and greet all patients and visitors, in-person and via telephone
- Communicate clearly, confidently, and professionally to patients, other offices, and staff within the office
- Act as a resource during initial communication, determining whether the patient should be scheduled or referred to another office
- Show empathy to patients and their family members, as they may be going through a difficult time
- Monitor and respond to all email, voicemails, and faxes
- Organize and schedule patients as directed by the Anaplastologist
- Review and communicate financial responsibilities to patients (prior to service, during, and after the service is completed)
- Data entry in management software
- Filing paperwork as needed (pictures, correspondence, medical records).
- Help revenue stream by completing physician’s orders, insurance pre-authorizations, recording and updating financial information; recording and collecting patient charges; controlling credit extended to patients; and filing, collecting, and expediting third-party claims if needed
- Assist with processing insurance claims and payments. Review EOBs to make sure payment was made correctly and applied to patient accounts. Appeal claims, as necessary.
- Assist with ordering and inventory process of office products
- Professional letter writing as needed to communicate with doctors, insurance companies, and financial institutions
- Properly collect and record all payments received from patients, insurance companies, or third-party financial institutions
- Routine follow ups with insurance companies and patients regarding outstanding claims and statements
- Protects patients' rights by maintaining confidentiality of personal and financial information (HIPAA Compliant)
Requirements:
- Bachelor’s degree preferred
- 3 years of customer experience preferred
- 3 years of experience in a professional office setting, medical field a plus
- Knowledge of Dr. Chrono preferred though not required
- Familiarity with medical billing a plus though not required
- Experience working directly with patients

- Proficient with MS Office Suites
- Excellent communication skills, both verbal and written
- Has impeccable attention to detail

- Typing a minimum of 50 words per minute (WPM), and general skills in word processing and spreadsheet applications
