JOB SUMMARY

The File and Mail Clerk will have two main areas of work within the Human Resources Department; file room and mail room duties and responsibilities. This dual role will be responsible for the preservation, storage, organization and retention of the personnel files of the Colorado River Indian Tribes. Working mostly autonomously, and with minimal supervision, this position is a direct report of the Human Resources Director. Concurrently, this position will train with the Mailroom Courier to fulfill the duties and responsibilities of the Mail Room, when needed.

FILE CLERK

DUTIES AND RESPONSIBILITES:

· Preserve the Tribes personnel files to ensure personnel information is safeguarded

· Storage and organization of personnel files to maintain an efficient system and file room

· Retention of files on an established schedule

· Scanning files into a data base for electronic access and archiving

· Compliant destruction of files according to retention schedule and standards

· Adherence to the established file and document chain of custody within the department

· Working confidentially at all times, with all documents, and all staff

· General clerical work; answering phones, making copies, enhancing the work space

· Other duties as assigned

MAIL CLERK

DUTIES AND RESPONSIBILITES:

The duties and responsibilities of the Mailroom Courier are listed below. The Mail Clerk will learn and train with the Mailroom Courier. In the Courier’s absence, the Clerk will assume the role of the Courier to keep Mailroom operations functioning.

· Train with Mailroom Courier until proficient in mailroom services, such as;

· Distribute mail and packages daily into correct department box

· Disperse mail to all department staff that come to the mailroom and assist as requested

· Enter tracking information for each letter or package received into the incoming mail log

· Notify departments when a received package is ready for pickup

· Monitor outside Tribal mail box for out-going and inter-office mail

· Prepare express mail forms, certified letters documents and delivery confirmations on outgoing letters and packages

· Enter each express mail, certified letter and packages into the outgoing mail log

· Process mail accurately through postage machine

· Submit monthly postage report to accounting

· Prepare mailroom check request for payments due

· Track each letter or package with tracking number, confirming delivery, and update log accordingly

· Ensure mail machine has adequate postage for continual use of processing mail

· Ensure folding machine is working properly

· Contact Pitney Bowes when equipment is in need of service or repair

· Ensure mail supplies are stocked and ready for use

· Answer phone calls and emails

· Ensure Mailroom Tribal vehicle is operating according to Vehicle Use Agreement

· Raising of CRIT and USA flags, and lowering to half mass when appropriate

· Replace worn flags when necessary

· Other duties as assigned

KNOWLEDGE, SKILLS AND ABILITIES:

· Ability to work confidentially and efficiently with minimal supervision

· Skill and ability to communicate effectively with colleagues, vendors and leadership

· Knowledge, skill and ability to work accurately, reducing errors

· Skill to use computer with personnel and mail room assignments

· Ability to work under pressure and within time constraints to meet required deadlines

· Knowledge and ability to use postage machine, folding machine, scanner and copy machine as well as other office appliances

· Ability to become proficient with related software and databases

· Ability to work in a repetitive environment

· Ability and dexterity to lift heavy items, up to 50 pounds, and large or odd shaped boxes or objects

MINIMUM QUALIFICATIONS:

· High School Diploma or G.E.D.

· Valid Driver’s License
