Position Scope
The Colorado Springs Chamber & EDC is the largest economic development, chamber of commerce, and business advocacy organization in southern Colorado. We work with industry leaders, educational institutions, military personnel, government, and community agencies and a wide array of community professionals dedicated to developing economic prosperity for our region.
An executive assistant manages projects, and/or programs and/or people with supervision and some autonomy. The Executive Assistant provides administrative support for the day-to-day needs of the Chief Executive Officer (CEO). Reporting to the Director, Administration and Human Resources, but primarily supporting the CEO, the Executive Assistant performs a broad range of complex administrative duties and serves as the key channel of communication for the CEO and Senior Leadership Team with staff, Board of Directors, and community members as well as other stakeholders seeking their time and/or resources. The role demands excellent oral and written communication skills, a service mindset, a high degree of confidentiality, solid judgment and professionalism. Requires a comprehensive knowledge of the Chamber & EDC’s policies, procedures and operations.
Essential Duties and Responsibilities
· Support the CEO by managing all daily administrative matters including calendar management, email management, logistics and attendance at events and meetings, expense reports, and internal and external communication.
· Ensure the CEO is well informed of commitments, responsibilities and other matters that require attention. Prioritize conflicting needs and handle matters proactively and timely ensuring communication with all relevant stakeholders.
· Schedule meetings, handle all logistics, send meeting notices, prepare agendas, prepare packages for distribution, prepare presentations, proofread and edit materials, and transcribe meeting minutes.
· Participate in meetings where efficient use of time and valuable relationship-building exists.
· Draft letters and manage correspondence for CEO as directed; coordinate with appropriate internal and external stakeholders where necessary. Communicate professionally with stakeholders on behalf of the CEO.
· Provide first-class customer service experience where CEO is involved and act as the initial point of contact for the CEO. Screen and prioritize telephone calls and respond to requests in a professional and timely manner, and ensure CEO is well-prepared and available when necessary.
· Build relationships with executive assistants of key leadership to include Board of Directors, Board of Governors, City, County, or general business community.
· Research, compile, and organize materials for use by the CEO with Senior Leadership Team.
· Maintain member lists for Board of Directors, Board of Governors, Board Councils and Committees, and others as required.
· Manage travel arrangements, lodging and airline reservations, and car rentals as needed.
· Provide administrative support to the Chamber & EDC 501(c)(3).s.
· Maintain office records and files.
· Perform other duties as assigned.
Required Knowledge, Skills and Abilities
· Ability to make independent decisions, oversee special projects and handle highly sensitive, confidential, and/or political issues with discretion, judgment, tact, and poise.
· Ability to interact with senior executives and elected leadership.
· Strong writing, editing, and proofreading experience in a business environment.
· Proven ability to transcribe meeting minutes with minimal editing needed from others.
· Ability to multi-task and work multiple concurrent activities.
· Perform well under high pressure situations.
· Possesses considerable latitude and flexibility in carrying out assigned tasks.
· Ability to be flexible to the scheduling needs of the organization.
· Must work well independently and in a team environment.
· Must be proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. Experience using web-based applications such as membership databases and scheduling tools is recommended.
Education and Experience
· Bachelor’s degree with 3 years of senior executive administrative experience preferred or; other education with 5 years of senior executive administrative experience; or equivalent experience.
