Position Description
The Executive Assistant to the CEO provides high-level administrative support and serves as a trusted partner to the CEO of Community Bible Study.  This individual manages schedules, correspondence, and meetings while maintaining confidentiality and demonstrating discretion and professionalism.  The Executive Assistant plays a vital role in supporting the mission of CBS by enabling the CEO to focus on strategic leadership, ministry development, and the spiritual health of the ministry.


Responsibilities 
Executive Support 
•    Manage the CEO’s calendar, prioritizing appointments, meetings, and travel arrangements.
•    Prepare materials for Board meetings, leadership team gatherings, and other high-level engagements.
•    Draft, proofread, and format correspondence, reports, presentations, and other documents.
•    Manage email and written communications, ensuring timely and appropriate responses.


Meeting Coordination
•    Coordinate logistics and hospitality for meetings and events, including scheduling, material preparation, and hospitality needs.
•    Attend key meetings to take minutes and track action items on behalf of the CEO.


Travel & Expense Management
•    Arrange domestic and international travel, accommodations, and itineraries.
•    Proactively prepare travel packets that include relevant information such as:
      o    Weather forecasts for destinations
      o    Visa and passport requirements
      o    Local customs or dress code
      o    Meeting agendas and handouts
•    Prepare expense reports and manage receipts with attention to accuracy and timeliness.


Support for the Board of Trustees
•    Serve as Board Secretary and officer, attending all Board meetings to record accurate minutes.
•    Coordinate Board travel and logistics for Spring and Fall meetings, including hospitality and accommodations.
•    Collect reports from Committee Chairs and MSC Directors and prepare digital Board packets via Microsoft Teams.
•    Maintain the Board portal, record votes and resolutions, and ensure proper documentation and communication.
•    Oversee Board-related compliance, including security training, and support the onboarding of new Trustees.
•    Serve as a responsive point of contact for Board members, offering administrative and logistical support as needed.
•    Support Board of Trustees communications and materials, including confidential documents and schedules.


AI & Digital Communications
•    Proficient in leveraging AI tools such as ChatGPT, Microsoft Copilot, or similar platforms to enhance executive support.
•    Applies AI to assist with research, note-taking, summarization, content creation, and communication on behalf of the              CEO.
•    Experienced in supporting the development of presentations, including visual design, slide content, and key message framing, to improve the clarity and impact of executive communications.
•    Demonstrates a strong interest in continual learning and adoption of new technologies to improve workflow and effectiveness.


Administrative Operations
•    Maintain organizational files, records, and confidential documents for the CEO’s office.
•    Coordinate special projects, events, or ministry initiatives as needed by the CEO.
•    Lead weekly staff prayer gatherings in person and online, fostering spiritual connection across teams.
•    Manage and post content for the ministry’s Global Prayer Blog, including collecting and curating monthly prayer submissions.
•    Plan and execute logistics for the Ministry Service Center (MSC) staff events.


Qualifications, Skills, and Qualities

Additionally, we seek someone with the following qualifications, skills, and qualities:
•    Bachelor’s degree preferred; equivalent experience considered.
•    5 years of executive-level administrative experience, preferably in a nonprofit or ministry environment.
•    Demonstrated ability to handle sensitive and confidential information with integrity and discretion.
•    Strong organizational skills and attention to detail.
•    Excellent verbal and written communication skills.
•    Proficiency in Microsoft Office Suite, Canva, and virtual meeting tools (Zoom, Teams).
•    Ability to work independently, anticipate needs, and adapt in a fast-paced environment.


Other
•    Reports to the Chief Executive Officer
•    Work Location: CBS Ministry Service Center, Colorado Springs, Colorado
•    Periodic overnight travel inside the United States
•    Occasional travel outside the United States may be required.
•    Must reside and work in the U.S.
•    Must have a valid passport.


Starting Salary Range
•    Salary range: $60,000 - $70,000 per year

Salary : $60,000 - $70,000
