Description of Work Unit

Founded in 1870, Colorado State University is among the nations leading research universities and enrolls approximately 32,000 undergraduate, graduate, and professional students. Located an hour north of the Denver metro area, Fort Collins is a vibrant community of approximately 157,000 residents that offers the convenience of a small town with all the amenities of a large city. Fort Collins is situated on the Front Range of the Rocky Mountains with views of 14,000-foot peaks, and offers access to numerous cultural, recreational, and outdoor opportunities.

The School of Education (SoE) faculty is comprised of educator-scholars whose expertise spans diverse learning contexts and populations. Innovative instruction, diversity / equity / inclusion, technology-enhanced learning, distance education, service learning, professional development school partnerships, and rigorous research are embodied in all of our programs. Our faculty members philosophies and areas of expertise, along with the Schools core values, guide our pedagogical and inquiry practices, which are typically both interdisciplinary and applied. The SoE includes approximately 600 graduate students enrolled in on-campus and distance delivery degree specializations.

Position Summary

A Graduate Programs Coordinator plays a crucial role in managing and overseeing graduate programs within an educational institution. The candidate will provide systematic and effective academic support to the Director / Associate Directors, and to faculty and prospective students during the graduate student application process. Support is expected for processing Graduate School and School of Education forms for SoE graduate specializations, and annually track faculty advising and student milestones, while coordinating these efforts within the infrastructure of the college and university. The candidate will maintain two department custodial PCards, assist with PCard allocation following state and university fiscal policy, and process HR platform actions needed as part of the graduate student GS forms for committee members to meet the CSU Graduate Schools policies.

The successful candidate will have a strong work ethic, a willingness to serve in a broad variety of roles, as needed, and be dedicated to the mission of the department.

Required Job Qualifications

  • Bachelors of Science / Bachelor of Arts degree
  • Excellent communication skills as demonstrated by submitted materials
  • Demonstrated work experience in a fast-paced environment and capacity to meet due dates and timelines in an organized, efficient manner
  • Three years work experience in a similar office environment as this position
  • Proficiency in Microsoft Office, Adobe Creative Suites, HR platforms (like Workday) and Student Application platforms (like Slate)
  • Preferred Job Qualifications

  • A Master of Science / Arts degree in education, human services, business management, and / or related field
  • Four to five years of administrative experience in a fast-paced environment and capacity to meet due dates and timelines in an organized, efficient manner
  • Knowledge of Colorado State University systems, policies, and procedures
  • Demonstrated personal and professional commitment understanding and relating to a variety of individual, group, and cultural perspectives

    Essential Duties

    Duty / Responsibility

  • Support School of Education (SoE) Graduate Director / Associate Director of Graduate Studies in managing operations for the SoE graduate specialization areas, including graduate certificates and graduate degrees.
  • Support the review process of graduate student applications in Slate to distribute and track applications as required.
  • Create and process required graduate school and SoE forms to be reviewed and approved by SoE faculty and Director / Associate Directors.
  • Assist graduate specialization area faculty leads with troubleshooting student intervention needs related to their program progression and completion needs.
  • Track student degree / certification progression and coach students on administrative needs to complete their program.
  • Collect, track and support specialization area faculty leads in evaluation of student and area data for use regarding policies, procedures, and student success.
  • Oversee collection of data for US World Reports survey and other college / university sources rating program offerings.
  • Prepare annual advising progress reports for faculty.
  • Room scheduling for student thesis and dissertations, including posting notices in Education building and CSU graduate program calendar.
  • Distribute financial, academic, and professional opportunities, deadlines, and policy changes to SoE graduate students in a timely manner.
  • Respond to prospective student inquiries via email, phone, or in-person and provide guidance on the admissions process in a timely manner.
