Administrative Support Specialist for ColorCoat Inc.
Location: Milton, PA
Reports To: Plant Manager
FLSA Status: Non-Exempt
Wage Rate: $19.50-21.50/Hour
Hours: 5:30 AM – 2:00 PM
Job Summary:
We are seeking a Support Specialist to provide administrative support to the Plant Manager, Payroll Administrator, and Human Resources Manager at our Milton, PA facility. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Assist the Plant Manager with timekeeping using HRIS software.
- Manage petty cash receipts and reimbursement forms.
- Support safety initiatives by assisting with safety meetings, logging safety concerns, and ensuring first aid and PPE supplies are available.
- Generate and analyze hourly reports to monitor employee work hours and prevent unnecessary overtime.
- Issue purchase orders for shop supplies, paint, and packaging as directed.
- Handle sales orders and invoicing.
- Communicate directly with customers to resolve shipping and receiving issues.
- Track on-time completion percentages and update status reports.
- Provide production floor support to clear bottlenecks as needed.
- Assist in training floor personnel and facilitating touch-up bottle orders.
- Support HR functions, including:
- Communicating with new hires.
- Completing onboarding processes, reviewing I-9 documents, and ensuring accurate documentation.
- Assisting new hires in creating HRIS profiles and signing required documents.
- Uploading HR-related documents to corporate files and the HRIS system.
- Assisting employees with insurance benefit enrollment.

- Customers
Qualifications:
- Strong verbal and written communication skills.
- Ability to manage multiple tasks and work efficiently in a fast-paced environment.
- High attention to detail and organization skills.
Education & Experience:
- High school diploma or GED required.
- 3-4 years of related experience in an administrative, HR, or accounting role preferred.
- Proficiency in MS Office, Excel, NetSuite, and ADP Workforce Now software (or willingness to learn).
Physical & Work Environment Requirements:
- Ability to stand, walk, use hands, and lift/move up to 25 lbs.
- Occasionally sitting and reaching with hands and arms.
- Loud work environment typical of a production facility.
