Description
DUTIES/RESPONSIBILITIES:
- Primary point of contact for new and existing U.S. Government, Military and Law Enforcement customers.
- Extensive correspondence with customers through detailed written communication, including e-mail and contractual letters.
- Process Receiving Reports and invoices in the USG’s PIEE/Wide Area Workflow (WAWF) System in a timely fashion.
- Create and submit customer letters to support the submission of programmatic documents (ECPs, RFVs/RFDs/RFWs, FAIs/FATs, LATs, EFAs, etc.) in accordance with contractual requirements.
- Oversee quote/proposal process; ensure all functional buy-in and approvals are obtained in accordance with Colt’s Delegation of Authority policy and quotations are provided to customers in a timely fashion.
- Responsible for the receipt and review of all new and existing contracts and orders; ensure contract/order received is in accordance with Colt’s quotation/proposal.
- Execute formal Contract Review process; review and disseminate contractual requirements to all required functional groups, including, but not limited to: terms and conditions, FAR/DFARS flow downs, special shipping instructions, Quality requirements and other customer requirements.
- Responsible for the creation and maintenance of sales orders in Colt’s ERP system; ensure backlog integrity and order pricing accuracy to eliminate invoicing errors.
- Create, maintain, and update Salesforce CRM entries to track customer opportunities.
- Work with Manufacturing Operations to ensure on-time delivery of customer orders and provide status updates to customers. Generate and distribute weekly Open Orders Report.
- Oversee acquisition, receipt and disposition of Government Furnished Property and maintain detailed records.
- Identify areas of improvement and implement process improvements.
- Maintain regular and effective internal and external customer relationships.
- Other duties, tasks, and projects, as assigned.
- Maintenance of secure and confidential company and customer information.
- Strict compliance with Colt’s ethics and business policies; adherence to Colt’s policies and procedures.
Qualifications
- Bachelor’s degree in a related discipline preferred or equivalent work experience.
- Exceptional attention to detail is critical to this position.
- Strong written and verbal communication skills.
- Experience in a fast-paced business environment, previous experience in Contracts, Customer Service or Sales a plus. At least five years’ experience with USG contracts preferred.
- Excellent organizational skills required.
- Self-motivated with the ability to work independently under general direction on a variety of projects.
- Time management and prioritization skills.
- Strong interpersonal skills are a must.
- Knowledge of Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations Supplement (DFARS).
- Knowledge of contracts, ERP systems, Salesforce, Government web sites/systems (PIEE/WAWF, SAM.gov, DIBBS, etc.) and contract administration functions (quoting, negotiation and contract management) a plus.
