Overview
We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office by providing administrative support to the Executive Director and Finance Manager. The ideal candidate will possess strong communication skills, proficiency in office management, and the ability to multitask effectively in a fast-paced environment.
Duties
The part-time office management supports the CCRK Executive Director and Financial Manager in managing the organization including but not limited to collecting information and data input, scheduling, and communications. Work involves handling a wide variety of administrative issues with frequent exercise of independent judgment, however, routine duties are performed under general directions regarding objectives, policies, and procedures. General supervision is received when conducting administrative studies and recommendations may be made subject to review and approval. The candidate is expected to perform related work, as required.
TYPICAL WORK ACTIVITIES (ILLUSTRATIVE ONLY): ➢ Reads incoming emails, conducts general correspondence, and routes material to proper staff/volunteers. ➢ Processes and follows up various types of requests regarding volunteer inquiries, and scheduling tours of CCRK kitchen; ➢ Completes applications for small grants of $2500 or less➢ Works with Executive Director and Finance Manager to complete reporting requirements for grants, foundations, and funders. Works with the Executive Director on projects as needed. Responsible for intake of recipients, compiling information, and sending it along to the database managers.
PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES & PERSONAL CHARACTERISTICS: Must have computer knowledge to navigate online portals, experience with Microsoft Office, Word, and Excel; procedures and methods of daily performance ; solid language skills, oral and written; understanding of financial account keeping and budgets; proven organizational skills including the ability to understand and carry out oral and written directions; ability to prepare accurate reports and correspondence clearly and concisely; ability to secure the cooperation of others and deal effectively with the public and volunteers; good judgment in solving complex problems; initiative and resourcefulness; tact and courtesy; integrity
