Job Summary: The Accounts Payable Specialist’s primary focus is accounts payable, including vendor files, invoicing, and cash management. In addition to managing accounts payable, this role will assist the Finance Department with reporting and various projects as needed. The Accounts Payable Specialist will also help maintain accurate financial records that contribute to the overall financial health and transparency of the organization.
Duties and Responsibilities:
Accounts Payable:
- Process and manage all accounts payable activities, ensuring timely and accurate payments to vendors.
- Review and verify vendor invoices and credit card transactions for accuracy.
- Maintain and update vendor data and files.
- Oversee the timely processing of invoices, ensuring compliance with payment terms and avoiding overpayment.
- Perform regular accounts payable reconciliations to ensure accurate records.
- Manage annual 1099 filings and ensure compliance with tax reporting requirements.
Financial Reporting & Support:
- Assist in the preparation of month-end and year-end financial reports.
- Support the preparation of departmental budgets, reforecasts, and financial analysis.
- Assist with the preparation of grant reports and documentation.
- Maintain accurate financial records and assist with reconciliations as needed.
General Administrative Support:
- Respond to staff inquiries regarding financial information.
- Provide financial data and support to the Senior Director of Finance and other senior staff.
- Assist with general administrative tasks related to finance and accounting.
Qualifications:
- Associate's degree in accounting, finance, or business administration, preferred.
- A minimum of two years of experience in accounts payable or related accounting functions.
- Proficiency in accounting software and Microsoft Office; experience with Financial Edge NXT is a plus.
- Nonprofit accounting experience is beneficial.
- Strong understanding of Generally Accepted Accounting Principles (GAAP).
- Excellent attention to detail, organizational, and time management skills.
- Strong analytical skills with the ability to recommend improvements.

- Ability to work independently, meet deadlines, and thrive in a fast-paced environment.
- High ethical standards and a strong sense of responsibility and confidentiality.

Physical Demands:
