Position Title: Project Coordinator
Reports to: VP, Programs
FLSA Status: Exempt


POSITION SUMMARY:
The Project Coordinator will support the VP of Programs and Project Management staff in planning, executing, and finalizing various projects in accordance with strict deadlines and within budget. This role involves coordinating with various stakeholders, ensuring project deliverables meet specifications, and preparing and maintaining necessary project documentation. This role requires a strong understanding of technical concepts, ability to organize and communicate information effectively, and the ability to work collaboratively with cross-functional teams. The incumbent contributes to the development of project plans and assists in resource allocation to ensure that projects are completed efficiently and effectively.


ESSENTIAL DUTIES and RESPONSIBILITIES:
• Assist in coordination of project activities, resources, equipment, and information to ensure timely delivery and adherence to project goals.
• Facilitate communication among project teams and stakeholders, technical departments, and external stakeholders to ensure clear understanding and execution of project specifications.
• Assist in the development of project plans and documentation, including defining project scope, goals, and deliverables.
• Assist in resource allocation and planning to optimize productivity and budget adherence.
• Assist in developing and maintaining project schedules to ensure projects are delivered on time; monitor project progress and performance against established timelines and milestones, implementing adjustments as necessary.
• Assist in tracking and monitoring project progress and performance, and report any issues that arise.
• Develop and maintain comprehensive project file documentation, including tracking system updates and technical procedures, to ensure accountability and ease of access of information.
• Provide administrative support as needed, including scheduling meetings, documenting meeting minutes, maintaining project files, and managing project-related paperwork.
• Support staff in project management in resource allocation and budget tracking, ensuring alignment with project objectives.
• May perform other duties commensurate with the functions and level of the position.


MINIMUM QUALIFICATIONS:

Education: Bachelor’s Degree in Project or Construction Management, Business Administration, Engineering, or a related field.
Experience: Proven experience in project coordination or in a similar role, preferably in power generation, distributed generation, or renewable energy sectors.

KNOWLEDGE, SKILLS, and ABILITIES:
• Knowledge of project management software/methodologies and tools, such as MS Project or Trello.
• Strong understanding of power generation, renewable energy, and energy regulations.
• Proficiency in Microsoft 365 Office suite.
• Strong analytical skills with the ability to assess challenges and provide effective solutions.
• Detail-oriented with a proactive approach to problem-solving and a commitment to meeting deadlines.
• Excellent communication and interpersonal skills, with a focus on stakeholder engagement.
• Ability to work independently and manage multiple projects under stringent deadlines.
• Ability to work collaboratively in a team-oriented environment, promoting a positive workplace culture.


PHYSICAL REQUIREMENTS:

• Mobility and Dexterity: Incumbent in this class must be able to sit, stand, and bend.
• Lifting, Carrying, Pushing and Pulling: Incumbent in this class will occasionally exert up to 10 pounds, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
• Vision: Incumbent in this class requires to have close visual acuity, with or without corrections, to prepare and analyze data and figures, transcribe, view a computer screen, read, etc.
• Hearing/Talking: Incumbent in this class requires to perceive the nature of sounds at normal speaking levels with or without correction and have the ability to receive detailed information through oral communication. Require the employee to express or exchange information or ideas by means of the spoken word.

• Incumbent in this class may be subject to disruptive and confrontational people.
• The dress code varies, combining professional office attire with safety gear when visiting other agencies and power plant sites.

OTHER REQUIREMENTS:

• Drug Test and Background Checks: Will be subject to pre-employment drug testing background check prior to appointment and random drug testing during the employment.
• Hours of Work: Work hours may extend beyond the typical 8-to-5, to accommodate the demands of project deadlines. Incumbents will be required to work weekends, holidays, irregular hours, and after normal business hours, to meet the operational needs.
