Position Overview
We are seeking a proactive, adaptable, and highly organized Business Operations Coordinator to join our Auburn office. This full-time, in-office role is central to keeping our day-to-day operations running smoothly across several departments. What You'll Do
· Provide day-to-day administrative support to multiple teams and managers
· Schedule meetings, manage calendars, and coordinate appointments
· Help plan team events, organize conference participation, and book travel
· Monitor company inboxes, mail, and phone lines, respond professionally, and route messages or requests to the appropriate team or person
· Submit and track team invoices, receipts, and expenses
· Assist with vendor invoicing, track payment status, and retrieve documents as requested by the accounting team
· Procure equipment for offices and team members, and oversee company accounts including mobile phone plans and Amazon purchasing
· Work closely with our IT partner to resolve technical issues, coordinate computer repairs or reassignments, and track related communications and support requests
· Help maintain organized cloud-based storage (SharePoint, Dropbox, Filecamp)
· Create, format, and manage internal documents like SOPs and team guides
· Track deliveries, manage shipping, and handle vendor relationships and communication
· Oversee light office housekeeping to maintain a clean and efficient workspace
· Coordinate with marketing on clothing/collateral orders and outbound shipments
· Assist field operations with booking travel, submitting expenses, and logistical coordination

· Ability to communicate clearly and professionally across multiple channels

· A helpful, team-first attitude and comfortable wearing many hats in a fast-paced environment
Qualifications
· Bachelor’s degree in Business Administration, Operations Management, or direct experience in leu of degree.
· 3-5 years of experience in business operations, project management, operations coordinator or a similar role.
· Proven track record of managing and improving operational processes within an organization.
· Experience with tools such as Microsoft 365 (Excel, Word, Outlook, PowerPoint, SharePoint), project management software (Asana, Lucidchart, etc.), and CRM platforms (Zoho, Salesforce).
· Prior experience working in a cross-functional environment, collaborating with different teams and departments in-person and remotely.
