POSITION: RECEPTIONIST
The Receptionist is responsible for greeting visitors in person and over the phone and directing them to the appropriate employee(s). The Receptionist deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. This position provides a primary initial point of contact for the Company. It is the responsibility of the receptionist to make a positive and professional first impression with visitors and callers.
The Receptionist performs a variety of highly responsible and clerical work requiring knowledge within the field. Responsibilities must be performed in a manner that clearly shows effective communication and cooperation and promote open exchange of information, respect, high ethical standards, and professionalism.
Job Focus:
- Perform all administrative tasks efficiently, including managing phones, organizing files, tracking information, maintaining logs/spreadsheets, and similar responsibilities.
- Respond to all incoming calls with professionalism, courtesy, and a welcoming demeanor, promptly directing them to the appropriate employee and efficiently providing caller information.
- Assist callers by promptly addressing their queries and providing the requested information in a helpful manner, including inquiries regarding job openings.
- Log all received checks and promptly notify relevant parties via email.
- Ensure timely procurement of office supplies and maintain an organized office supply inventory. Keep the supply room tidy and orderly.
- Create purchase orders and review invoices for accuracy.
- Assist in employee training and maintain records of certifications.
- Distribute monthly electronic birthday cards and employee anniversary certificates and gifts to COMANCO employees.
- Fulfill document scanning and copying requests promptly.
- Process and assist in resolving employee requests efficiently.
- Provide administrative support by composing letters, reports, and correspondence as required by Management.
- Perform other duties and special assignments, as assigned by Management.
Qualifications:
- Bi-Lingual (Spanish)
- Education: High School Diploma
- Experience: 2 years or more customer service or reception experience required. Strong Administrative and Time Management Skills.
- Computer Skills: To perform this job successfully, an individual should have knowledge of Internet software; Order processing systems; Spreadsheet software and Word Processing software.
