Job Summary

This position will be navigating both the administrative and clinical realms of the facility. Will manage the operational aspects of the building to contribute to efficient workflow and ensure high resident satisfaction. Must be able to build rapport with staff and provide excellent customer service to residents, visitors, and outside vendors.

Reports To: Administrator/Regional Director

Essential Job Duties

  • Maintains a positive attitude and always demonstrates teamwork.
  • Listen to employee, family, or resident complaints and appropriately handle such issues.
  • Performs general customer service duties to ensure resident satisfaction.
  • Answer the telephone in a professional manner and route the call to the appropriate party.
  • Answer questions from residents and families, address concerns, and problem-solve with the management team to create appropriate solutions.
  • Advertise, interview, and hire for open positions effectively in a timely manner to support census.
  • Able to reduce staffing needs based on the census.
  • Facility management – serves as primary contact for all building operational and functional management.
  • General knowledge of the building and its functions.
  • Ensures annual and quarterly inspections of facility systems are conducted per State guidelines and regulations.
  • Maintain the Certificates of Liability and confirm they are up to date.
  • Must have (or be able to learn) knowledge of chemicals and equipment necessary to properly clean the facility per State infection control guidelines and regulations.
  • Manages schedule on Paycor to ensure weekly hours are within budget and will make adjustments as necessary.
  • Have some knowledge of human resources and the regulatory expectations of the state and federal governing bodies.
  • Assist with monthly mandated employee meetings and contribute items pertaining to the well-being of the building.
  • Conduct employee chart audits once a quarter for compliance.
  • Maintain certification books, W-9’s.
  • Processing and recording facility invoices, and communicating invoices with the Central Office/Finance Department.
  • Conduct tours for prospective residents as needed.
  • Update and maintain resident/employee birthday list.
  • Complete the daily staffing sheet with recording attendance tracking.
  • Updates the schedule daily to ensure proper documentation of staff on each shift. This includes if management works the floor or staff from another building works the floor.
  • Assist residents with Activities of daily living (ADL’s), including but not limited to dressing, personal needs grooming, and dining.
  • Pass the Medication Administration training with proficiency and assist with medication administration when needed.
  • Ensure all on-line training is completed by staff prior to their start date. Also maintaining the site for accuracy and the site remains up to date.
  • Exemplary computer skills.
  • Familiarizing monthly training and complying with state regulations for completeness.
  • Schedule, maintain, and adjust employee schedules.
  • Take on-call on a rotating basis with the Administrator and Resident Care Director which could include caregiving or kitchen responsibilities. When in these roles, the Operations Manager is expected to fulfill the duties of those roles according to their job descriptions.
  • Cover any shifts as needed.
  • Maintain facility logbook (i.e. Refrigerator temperatures, Water Temperatures).
  • Maintain Fire Inspection Book and ensure fire, elopement, and call light drills are conducted according to the State Fire Marshall’s regulatory standards. Ensures all documentation is done correctly and is up to date.
  • Maintain cleanliness of the building and assign cleaning duties to staff as needed. Follows up with staff that these tasks are completed.
  • Monitor waiver sheets for completion if applicable.
  • Monitor the Supervisor’s log book for completion of tasks assigned.
  • Assist with med cart audits and be proficient with the med pass process according to the medication administration rights and responsibilities.
  • Maintain the appearance of the building.
  • Coordinate with outside sources for maintenance of the building (i.e. lawn, maintenance, carpets).
  • Encourage and motivate shift supervisors and caregivers and bring forward new ideas to better these roles.
  • Conducting orientation for new hires which includes but is not limited to; orienting to the policies and procedures of the facility, proper documentation filled out according to the licensing regulations, teaching and confirming competency in all aspects of the ADL’s, QuickMar, Paycor and the scheduling systems.
  • Will execute discipline when necessary with the guidance of the Administrator.
  • Will work closely with the Administrator to ensure all area’s of compliance are met daily.
  • Will work closely with the State of Michigan during special investigations or annual renewal of licensure.

Pay: $17.50 - $21.00 per hour
