Job Description: Office Administrator who receives and executes all internal paperwork associated with groups and meetings. Assists Director of Sales (DOS) to ensure proper account maintenance and revenue generation is positioned to maximize profits of the guest rooms and meeting rooms for both hotels.
Reports to: DOS, GM(s), AGM
Meeting Rooms and Room Blocks- Generate, execute, and finalize all meeting room and group room block contracts at both properties. Focus on detailed bookkeeping, customer service, client retention, and increase sales.
- Book all meeting room and room block business from inquiries received via phone, online, site tours
- Enter all meeting rooms and room blocks into hotel systems and ensure payments are received
- Ensure organization of group block and meeting room bookings so all team members are aware of what is needed
- Handle incoming leads for groups, weddings, events and meeting room leads
- Manage all contracts for meeting rooms and room blocks; monitor the prompt return of signed contracts by a specific date, follow up if needed
- Maintain direct contact with clients to ensure all details are accurate and received leading up to events
- Monitor inventory on all room blocks and ensure inventory has dropped back in at appropriate times
- Receive and enter rooming lists before cut-off dates and manage changes with clients
- Manage the daily coordination of meeting rooms to include set up, food/beverage service, cleanliness/presentation, and overall service to clients while on property
- Follow up with all clients, deliver final folios to ensure customer satisfaction, and inquire about future needs
Other Sales Duties:
- Work directly with Galaxy staff to fill client needs and increase business between the hotels and Galaxy
- Conduct online research and prospecting for new avenues of potential business
- Report sales activity on a weekly basis to DOS
- Assist in driving shuttle as needed
- Assist DOS with marketing/advertising campaigns and social media efforts
- Assist with filling front desk shifts as needed
- Ensure daily revenue report is accurate, with a focus on the Meeting Room revenues
