Position Summary:
We are a growing HVAC company looking for a motivated and detailed-oriented individual to join our team. This hybrid role is crucial in keeping our office operations running smoothly while managing the scheduling and dispatch of our HVAC technicians. The ideal candidate will have excellent communication skills, be dependable and punctual, and demonstrate the ability to juggle multiple priorities with a customer-first mindset.
Key Responsibilities:
- Provide exceptional customer support by answering incoming calls and route messages or respond to inquires.
- Maintain customer records, job files, and service agreements in the system.
- Assist with preparing invoices, processing payments, and some bookkeeping tasks.
- Support management with administrative tasks, reporting, and documentation.
- Schedule and dispatch HVAC technicians to service and maintenance calls based on availability, skillset, and location.
- Communicate with technicians throughout the day to monitor job progress and adjust scheduling as needed.
- Contact customers to confirm appointments, provide updates, and follow up after service.
- Maintain accurate service logs, work orders, and time tracking in scheduling software.
- Perform data entry tasks with accuracy and attention to detail.
Qualifications:
- High school diploma or equivalent required; additional education is a plus.
- 2 years of administrative experience.
- Strong organizational and multitasking abilities.
- Excellent phone etiquette and written communication skills.
- Proficiency in Microsoft Office and QuickBooks Enterprises.
- Experience with HVAC scheduling software (ServiceTitan) is desirable but not required.
- Ability to work in a fast-paced environment and handle urgent situations calmly and efficiently.
Schedule:
- Monday - Friday; 8:00 am - 5:00 pm
- Lunch; 1 hour
