We are seeking a highly organized and adaptable Executive Assistant to serve as the right-hand person to our CEO. You will play a critical role in managing the CEOs day-to-day operations, ensuring seamless communication, efficiency, and business growth.
Key Responsibilities:
Calendar & Time Management
- Fully manage the CEOs schedule, meetings, and priorities.
- Optimize time-blocking to align with business objectives.
- Coordinate client meetings and internal engagements.
- Manage and prioritize the CEOs inbox, responding as appropriate.
- Draft business communications (emails, memos, LinkedIn updates).
- Maintain Pipedrive (CRM) to track client interactions and follow-ups.
- Assist with internal and external communications and support marketing initiatives.
- Collaborate with Sales & Marketing to support growth initiatives.
- Assist in lead generation, event planning, and tradeshow coordination.
- Manage vendor relationships and ensure business development follow-ups.
- Attend meetings on behalf of the CEO, take detailed notes, and track follow-ups.
- Ensure action items from meetings are executed effectively.
- Assist in preparing presentations, reports, and strategic documents.
- Document and refine best practices for meeting management and reporting.
- Establish standardized workflows to enhance efficiency across teams.
- Implement and maintain a task tracking system (Microsoft To-Do, Planner).
- Keep the CEO accountable for deadlines, follow-ups, and key initiatives.
- Ideally based in Long Island, NY, but exceptional remote candidates will be considered.
- Proven experience providing executive-level administrative support.
- Strong interpersonal and written/verbal communication skills.
- Highly organized and detail-oriented with the ability to multitask.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- A proactive, professional attitude with reliability and discretion.
- Familiarity with CRM systems (Pipedrive preferred) and a willingness to learn new technologies.
- Experience working in a fast-paced business environment.
