Role Overview : We are seeking a seasoned and organized Executive Assistant to support the CEO and Board of Directors. The ideal candidate will have extensive experience supporting multiple senior executives and excel in a fast-paced environment with exceptional multitasking and prioritization skills. Key responsibilities include taking detailed notes and minutes, preparing presentations, managing web applications, and handling DocuSign or similar tools. The candidate must possess the ability to anticipate and proactively address the needs of the executives, ensuring smooth and efficient operations.
Key Responsibilities :
- Provide high-level administrative support to the CEO and Board members.
- Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements.
- Organize and coordinate board and executive meetings, including preparing agendas and drafting minutes.
- Organize and coordinate offsite meetings and events.
- Serve as the primary point of contact between the CEO, Board, and internal / external stakeholders.
- Prepare and edit presentations, reports, and other documents for executive meetings.
- Utilize tools like DocuSign for document management and approvals.
- Assist in managing and coordinating special projects and initiatives led by the CEO and Board.
- Maintain confidential files and records, ensuring data security and accessibility.
- Coordinate complex travel arrangements and logistics for events and conferences.
- Build and maintain strong relationships with key stakeholders, clients, and partners.
Essential Qualifications :
Qualified candidates will have a high school diploma or equivalency certification. Ten (10) years of experience providing administrative support to executive leadership. At least five years or more of experience managing projects, writing reports, and preparing presentations required.
