We are a leading Commercial Pool company that has been in business for 35 years and are looking to hire an administrative assistant to help with day-to-day duties in the office. This position is for full time, YEAR-ROUND, work. This is NOT a seasonal position. We are looking for an organized, detail-oriented, and reliable Administrative Assistant to join our growing team. The ideal candidate will play a critical role in providing administrative support and ensuring smooth day-to-day operations in our office. This position requires a proactive individual who thrives in a fast-paced environment and has a strong understanding of office systems and processes.

Responsibilities:

  • Answer phone calls, emails, and other inquiries related to service requests, billing, orders and scheduling.
  • Assist in scheduling and coordinating technicians.
  • Maintain and update company records, databases, and files.
  • Help process client invoices.
  • Help manage inventory of pool supplies and ensure timely ordering of necessary materials.
  • Assist with preparing contracts and agreements for commercial pool services.
  • Ensure smooth communication between the staff and clients
  • Perform other general administrative tasks as needed.

Requirements:

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
  • Proven experience as an administrative assistant or in a similar role.
  • Strong knowledge of office software such as Microsoft Office Suite and Google Suite (Word, Excel, etc).
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Attention to detail and accuracy in managing records and data.
  • Ability to work independently and as part of a team.
  • Experience in the pool industry or related field is a plus, but not required.

Preferred Skills:

  • Experience with accounting software (QuickBooks or similar).
  • Knowledge of pool maintenance or commercial pool operations.
  • Customer service experience.

Job Type: Full-time

Pay: $20.00 - $25.00 per hour
