Job Summary:
We are looking for a highly organized, proactive, and detail-oriented Project Administrator to join our team at our Atlanta, GA office and on-site at customer job locations. The Project Administrator must be fluid in both Spanish and English. Our Commercial Disaster Recovery team responds to natural disasters across the Southeast, requiring immediate travel upon notification. On-site assignments can last anywhere from a few weeks to several months, depending on the project.
Key Responsibilities in our Atlanta, GA office
- Office Management:
- Maintain the daily operations of the office, including managing office supplies, ensuring equipment is functional, and creating a productive work environment.
- Scheduling & Calendar Management:
Coordinate and schedule meetings, appointments, and events for staff and executives, ensuring all logistics are organized and communicated effectively.
- Communication Management:
Handle incoming calls, emails, and correspondence, directing them to the appropriate personnel and responding as needed. Serve as the primary point of contact for external vendors and clients.
- Documentation & Record Keeping:Prepare and maintain accurate records, files, and documents, ensuring that all materials are organized and easily accessible. Handle confidential information with discretion.
- Support to Senior Leadership/Departments:
- Assist in the preparation of reports, presentations, and other documents for senior leadership or departments. Provide administrative support for special projects as required.
- Travel Arrangements:
Organize travel logistics, including booking flights, accommodations, and transportation for staff as needed.
- Event Coordination:Assist in planning and coordinating company events, meetings, conferences, and team-building activities, both internally and externally.
- Office Liaison:
- Serve as a liaison between employees, management, and external partners or service providers, ensuring that all office needs are met efficiently.
Key Responsibilities – On-Site at Customer Job Locations
o Record, collect, and upload daily paperwork
o Coordinate with Project Managers to ensure accuracy of paperwork
o Audit subcontractor invoices
o Set up and call off fueling
o Arrange delivery and pickup of equipment and company vehicles
o Entry of customer assets in our system
o Preparation of customer invoices
Key Qualifications:
- Proven experience as a Project Administrator, Office Assistant, or similar role, preferably in an on-site setting.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment (printers, scanners, etc.).
- Excellent written and verbal communication skills.
- Fluid in both Spanish and English.
- Ability to maintain professionalism and handle sensitive information with discretion.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently with minimal supervision, as well as collaborate effectively with a team.
- High school diploma required; Associate’s degree or relevant certification preferred.
Working Conditions:
- This role has dual responsibilities; a full-time, on-site position at our Atlanta, GA office during business hours, and on-site support at customer job locations, requiring immediate travel upon notification.

Job Type: Full-time
Pay: $23.62 - $26.12 per hour
Expected hours: 40 per week
