Job Summary
The Medical Secretary provides administrative support to healthcare professionals and departments, ensuring smooth day-to-day operations. Essential Functions
- Greets and assists patients, visitors, and staff, responding to inquiries and directing them to the appropriate department or personnel.
- Schedules patient appointments, manages calendars, and coordinates meetings for medical staff.
- Maintains accurate and up-to-date medical records, ensuring proper filing, organization, and confidentiality in compliance with HIPAA and other regulatory standards.
- Handles incoming calls and correspondence, relaying messages and information in a timely and efficient manner.
- Prepares and processes medical reports, forms, and other documentation, ensuring accuracy and compliance with organizational standards.
- Assists with billing processes by gathering and verifying patient information, insurance details, and coding data as needed.
- Orders and maintains office supplies and equipment, ensuring availability for staff and efficient department operations.
- Coordinates with clinical staff to assist with patient flow, ensuring minimal delays in service.
- Supports department projects and initiatives by providing clerical assistance, data entry, and reporting as needed.
- Acts as a liaison between patients, healthcare providers, and external contacts, ensuring clear and effective communication.
- Follows up on pending medical documentation, tests, or appointments to ensure timely completion and patient care.
- Performs other duties as assigned.

Qualifications
- H.S. Diploma or GED required
- 1-3 years of experience in an administrative or clerical role, preferably in a healthcare setting required
- Familiarity with medical terminology and healthcare procedures preferred
Knowledge, Skills and Abilities
- Knowledge of medical office procedures and terminology.
- Proficiency in using office software, including word processing, spreadsheets, and electronic health records (EHR) systems.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
