Job Duties
The Virginia Department of Health Profession's (DHP) mission is to ensure safe and competent patient care by licensing health professionals, enforcing standards of practice, and providing information to health care practitioners and the public.
The Records Specialist will provide consistency and continuity of records management across the Agency, working with the Agency Records Officer, ensuring improved efficiency and accuracy of the Agency’s records management processes, support scanning unit projects, and assist with reception coverage, as needed.
Minimum Qualifications
• Ability to perform administrative activities and coordinate record retention processes.
• Considerable knowledge of administrative and office procedures/practices, including ability to promptly identify and resolve issues.
• Demonstrated high degree of expertise in utilizing Adobe Acrobat & PDF editing.
• Demonstrated expertise in utilizing MS Office Suite.
• Demonstrated ability to accurately key and tabulate data.
• Demonstrated ability to maintain confidential information.
• Demonstrated knowledge of laws and regulations regarding public records management.
• Demonstrated ability to work independently in a fast-paced environment.
• Ability to use electronic scanning procedures equipment.
• Ability to communicate effectively, both orally and in writing.
• Ability to work effectively with agency management and other internal and external stakeholders.
• Ability to work independently and participate in a collaborative team environment.
• Ability to work on multiple tasks and meet deadlines.
Additional Considerations
• Knowledge of Library of Virginia (LVA) Records Management (RM) procedures and processes
• Experience working in a regulatory environment
• Knowledge of Infolynx and Reelrecords applications, and experience using LVA record management forms.
