Applications received by October 2, 2023 will be given full consideration.This position serves as clerical support in the University Disability Services (UDS) office to assist in coordinating services with current and potential students with disabilities, parents, school districts, instructors, student employees and outside providers and vendors, in order to facilitate students’ educational access.
Duties:
- Oversees the day‐to‐day operations, creating, reviewing, analyzing and improving office flow processes and services provided to students with disabilities.
- Ensures that integrated office operations are consistently meeting Americans with Disabilities Act (ADA) regulations.
- Communicates new (or changed) policies, procedures and/or processes with students receiving disability services, as well as faculty, to ensure they understand the information.
- Talks with students to assess progress and address issues/concerns.
- May collaborate with department secretaries regarding students’ advisors.
- Assists students in developing a workable daily schedule to help provide the time management and structure essential to academic success.
- Discusses students’ accommodative needs with faculty/chairpersons to ensure understanding and ADA compliance.
- Assists parents/students with understanding specific accommodations, identifies and refers to other campus departments for additional assistance.
- Assists in monitoring and tracking provision of accommodations, i.e.: classroom support, note taking requests and exam requests to be ADA compliant.
- Contacts instructors, when necessary, regarding specialized accommodations.
- Contacts upcoming (new) instructors, if necessary, to discuss accommodative needs in preparation for the semester.
- Arranges and coordinates mobility specialist to conduct the mobility training for the bus and information such as how to locate a particular class and/or building on campus.
- Assists students in understanding additional support services, i.e. transportation, writing center, using BOLT, library hours, etc. Makes arrangements for specialized transportation needs for students.
- Maintains control and efficiency of a complex office; practices continuous improvement of all principles; cross-trains in all aspects of office duties and responsibilities.
- Screens calls and visitors. Maintains daily appointment calendar as well as testing calendar. Answers questions, gives guidance regarding appropriate office requirements and procedures. Answers written and phone inquiries regarding all aspects of the office. Reviews and assesses completed disability identification forms and documentation. Prepares new student files and letters of acknowledgement. Updates/expands Student Master List. Oversees office records management including confidential active and inactive student files and general filing systems. Maintains strict confidentiality.
- Writes and sends office appropriate correspondence and reports as needed to UDS director, students, faculty, staff as well as community and state agencies.
- Provides assistance and information to faculty, whose students use the services of this office, to maintain ADA compliance within their responsibilities at Bloomsburg University. Maintains strict confidentiality in regard to FERPA regulations and student information.
- Monitors office budget and student employment budget, requesting additional funds as necessary. Orders and stocks general office supplies and larger purchases necessary for the office. Determines needs and generates purchase requests, storeroom withdrawal requests, and maintenance work orders support for office. Responsible for department purchasing card.
- Performs student payroll duties. Jointly coordinates the advertising of the office student employee job posting. Interviews, hires, schedules and monitors office student employees.
- Schedules, coordinates and plans educational and training workshops and other events for the office.
- Assists four staff interpreters as well as part-time interpreters for deaf and hard of hearing.
Minimum Requirements:
One year as a Clerical Assistant 2;
OR
One year of moderately complex clerical experience;
OR
An equivalent combination of experience and training.
- This position require keyboarding skills to meet standards for speed and accuracy.
