PURPOSE OF THE ROLE:
The Facilities Coordinator is responsible for the efficient coordination and allocation of all CommunityAid resources, technicians, and equipment to address maintenance requests promptly and effectively. This role ensures the smooth operation of maintenance activities by utilizing technology and real-time communication to minimize downtime, optimize resource usage, and contribute to the overall productivity of the organization.

Dispatching and Coordination:
- Receive and log maintenance requests from various sources such as employees, customers, or automated systems. Ensure all requests are accurately documented in the dispatching system.
- Assess maintenance requests and prioritize them based on urgency and operational impact. Categorize and allocate resources accordingly to ensure critical issues are addressed promptly.
- Assign appropriate technicians, tools, and equipment based on the nature of the maintenance task, ensuring that the most qualified personnel are dispatched for each job.
- Create efficient schedules and routes for technicians, minimizing travel time and response delays. Adjust schedules as needed to accommodate emergency requests or changes in priorities.
Communication and Reporting:
- Maintain constant communication with technicians and stakeholders to provide updates on job statuses, address issues in real-time, and ensure all parties are informed throughout the maintenance process.
- Utilize data from the dispatching system to generate reports on maintenance performance, trends, and key metrics. Help identify recurring issues and recommend improvements to optimize the maintenance process.
Safety and Compliance:
- Ensure all dispatched tasks comply with relevant safety regulations and organizational policies, reducing risks and ensuring a safe working environment.

QUALIFICATIONS:
- Experience in a dispatching or maintenance coordination role is preferred.
- Familiarity with maintenance activities, including HVAC, electrical, plumbing, and general facility maintenance.
- Strong organizational skills with the ability to manage multiple requests and priorities simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in dispatching software and tools.
- Ability to work in a fast-paced environment and adapt to changing priorities.
- Strong analytical skills to review data and make informed decisions regarding resource allocation and dispatching.
- Ability to work independently and multi-task.
- Must be able to travel between all CommunityAid locations.
- Valid driver’s license required.
- Willingness to work after hours or weekends if necessary to handle emergency maintenance requests. Maintain an emphasis on preventive maintenance to reduce reactive tasks.
- Establish and track Key Performance Indicators (KPIs) such as response time and task completion rates to measure success and identify areas for improvement.
- Collaborate with other departments to foster a culture of teamwork and efficient problem-solving.
Qualifications
Salary : $60,000 - $75,000
