General Summary
Performs a variety of duties to coordinate the activities of the Facilities Management department.
Duties and Responsibilities
Essential Functions:
- Assists in the management of all inspections and preventive maintenance of hospital equipment performed by Facility Management staff and contractors. Tracks cost of these services.
- Assists in the coordination and oversight of designated building projects.
- Assists Facilities Management Supervisory Staff in research, report preparation, and safety and quality monitoring activities.
- Maintains all required facility safety and regulatory inspection documentation and generates required reports.
- Provides clerical support for the inventory control and management of Housekeeping supplies, including generation of required reports.
- Maintains current system drawings and O&M Manuals. Responsible for document control of the on-site facility document archives and communicates any revisions to the Wellspan CAD department.
- Manages the issuance and tracking of facility work permits for work performed by contracted service providers and internal service providers.
- Under direction, contacts and schedules contracted service providers, making sure all required documentation is updated.
- Processes Engineering and Housekeeping work requests and work orders and manages maintenance inventory and purchase requests.
- Maintains department training and certification records. Assists Facility Manager with employee PTO scheduling and coverage. Coordinates meetings. Supplements workload with clerical support for other departments when available.
- Coordinates courier services.
- Computes costs of material and labor for Job Orders and Work Projects and prepares monthly summations.
- Maintains a spreadsheet containing quarterly financial figures for year-end reporting.
- Establishes and maintains an inventory of all parts/supplies used by Plant Operations.

- Performs duties of the Department Secretary when the Secretary is not available.

Qualifications
Minimum Education:
- Associates Degree Required
Work Experience:
- 3 years Relevant experience. Required
Driver's License Statement:
Must possess a valid driver's license in the current state of residence. Driving record must meet requirements established by WellSpan Risk Management.
Knowledge, Skills, and Abilities:
- Working knowledge of financial and facility maintenance terminology.
- Proficient with Excel, Word, Outlook.
- Webview 2000 experience helpful.
- Knowledge of CMMS programs helpful.
