Position Description
The Executive Assistant is responsible for providing administrative support for the Chief Field Ministries Officer (CFMO) and the Chief Operating Officer (COO). The Executive Assistant must be able to coordinate various tasks efficiently and independently, as well as communicate effectively with a wide variety of people. Given the nature of the work, the Executive Assistant must be able to work with confidential information and exercise discretion and sensitivity in communication.
Responsibilities
- Executive Support:
- Work directly with the CFMO and COO to support all aspects of their daily work routine.
- Keep the CFMO and COO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Manage the CFMO’s and COO’s calendars –prioritize scheduling, send meeting confirmations, exercise discretion in committing time and evaluating needs.
- Prepare, check, and submit expense reports promptly and accurately.
- Communication and Correspondence:
- Manage and respond to email correspondence, ensuring timely, professional, and culturally sensitive communication as needed.
- Draft, edit, and proofread documents, reports, and presentations as needed.
- Build strong working relationships with a culturally diverse team of Global Regional Directors.
- Information Management:
- Maintain organized and up-to-date filing systems for documents and policies.
- Track and manage important deadlines, ensuring that the CFMO and COO are both well-informed and prepared.
- Meeting Coordination:
- Coordinate and schedule internal and external meetings, ensuring that all logistical details are managed efficiently, including several international meetings each year.
- Gather documents, create agenda and PowerPoints, and manage logistics and hospitality for meetings.
- Record meeting minutes to capture discussion deadlines, and action items. Track and ensure timely completion of action items.
- Collaboration and Team Support:
- Work collaboratively with other administrative staff to ensure seamless coordination and support across the organization.
- Assist in organizing in-person meetings, team events and activities.
- Assist staff in obtaining Visas when needed.
- Coordinate travel arrangements as needed.
- Project Assistance:
- Provide administrative support for special projects and initiatives as directed by the CFMO and COO.

For this position, we are looking for someone with the following qualities, experiences, and abilities:
- Bachelor’s degree or equivalent.
- 3-5 years of relevant experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Open to learning new platforms and software such as Salesforce may be required.
- Strong organizational, time-management, and detail-oriented.
- The ability to handle multiple projects and meet deadlines successfully.
- Excellent written and verbal communication.
- Cross-cultural environment experience preferred.

- This is a full-time position at 40 hours per week
- Reports to the COO
- Work Location: (Hybrid) CBS Ministry Service Center, Colorado Springs, Colorado
- Infrequent travel may be required
- Weekend or evening work will be required periodically
Starting Salary Range
- Salary Range: $25.00 - $30.00 an hour
