This individual ensures that scheduling is accurate, efficient, and responsive to both client needs and clinician availability. The internal Scheduler plays a critical role in supporting the delivery of timely, accessible mental health care by coordinating appointments for clients with clinical staff. This individual ensures that scheduling is accurate, efficient, and responsive to both client needs and clinician availability. The Scheduler serves as a front-line representative of the Agency, promoting a welcoming and professional experience for all clients.
Responsibilities:
- Coordinate and schedule appointments for clinicians, psychiatrists, case managers, and other mental health professionals.
- Manage incoming calls and messages related to appointment requests, cancellations, and rescheduling.
- Maintain a daily Will-Call list.
- Monitor calendars to maximize productivity and minimize gaps in scheduling.
- Backfill 90% of canceled appointments via the Will-Call list or same day requests and confirm client appointments 48 hours in advance; follow up on no-shows and cancellations.
- Provide excellent customer service to clients, demonstrating empathy, professionalism, and confidentiality.
- Communicate scheduling with issues or conflicts to the Director of Administrative Support or relevant staff.
- High School Diploma or equivalent; Associate's Degree or relevant coursework preferred.
- Previous experience in an administrative or scheduling role.
- Attention to Detail, accuracy in maintaining records and managing data.
- Team Player: Ability to work collaboratively across departments.
- Knowledge and proficiency in the use of technology: Microsoft products, software packages, EMR, etc.
- Excellent communication skills and a client-centered attitude.
- Must be comfortable working in a trauma-informed, culturally competent environment serving diverse populations.
- Must have a valid driver's license, reliable transportation with personal automobile liability insurance coverage at or above the levels mandated by the State of Vermont.
