The INS & Client Services Coordinator plays a vital role in supporting immigration physical examination services and occupational health client needs. This role is primarily responsible for managing the Immigration & Naturalization Services (INS) program (80%), while also supporting core Client Services Representative (CSR) functions (20%) to ensure smooth clinic operations. This individual acts as a liaison between patients, medical providers, and staff, ensuring excellent service, timely documentation, and compliance with USCIS and company protocols.
Essential Functions and Responsibilities:
INS Program Coordination (Primary Function)
Serve as the main point of contact for immigration physicals; manage all related calls, scheduling, and follow-up.
Guide patients through the USCIS medical exam process, ensuring clarity on documentation and procedures.
Coordinate and review Form I-693 and other USCIS-required forms for accuracy and completeness.
Collaborate with providers and staff to ensure timely and compliant exam documentation.
Maintain knowledge of current USCIS guidelines and ensure internal compliance.
Track pending documentation and deliver completed packets to patients as needed.
Support billing and payment processes; communicate costs clearly to patients.
Coordinate interpreter services when needed and handle sensitive data in compliance with HIPAA.
Client Services Support (Secondary Function)
Communicate with occupational clients regarding drug testing, physical evaluations, and documentation needs.
Support the completion and distribution of work status forms, physical therapy notes, and test results.
Enter and verify information in electronic systems such as Whiteboard and NextGen.
Assist with scanning, faxing, and documentation related to occupational health services.
Respond to phone calls and emails from employers and insurance representatives.
Requirements and Qualifications
Education: High school diploma or equivalent required.
1–2 years experience in healthcare, immigration services, or administrative support.
Knowledge of USCIS medical exam requirements and occupational health services is preferred.
Proficient in EHR systems and Microsoft Office; strong data entry accuracy.
Excellent communication and customer service skills.
Bilingual (Spanish/English) preferred.
Ability to multitask, stay organized, and work independently in a fast-paced environment.
