- The pay range for this position is $20.95 = $24.00 / hour
PRIMARY FUNCTION: The Accounts Payable Specialist is responsible for reviewing all invoices for accuracy, resolving discrepancies, and timely processing data entry to the accounting database to record transactions and prepare for payments and disbursements within the department’s policies and procedures.
ESSENTIAL DUTIES AND FUNCTIONS
- Reviews and validates invoices against purchase orders and posts according to accounting procedures to database
- Receives, reviews and posts special reimbursement requests according to accounting procedures
- Forwards invoices pertaining to purchases outside of the approved annual budget to the Chief Financial Officer for approval
- Prepares disbursement checks in accordance with accounting procedures
- Files paid invoices according to accounting procedures
- Maintains accounts payable register and check register in accordance with accounting procedures
- Prepares accounts payable open item aging report monthly
- Maintains vendor files in an accurate and timely basis: retrieves documents and information as requested
- Provides Accounting Manager with any additional accruals not received and entered by month end
- Attends department, educational and all staff meeting as scheduled
- Other duties as assigned
QUALIFICATIONS
Education:
- High school diploma or equivalent with accounting experience
- Associate in Accounting preferred
Experience/Skills:
- One (1) year of experience working in a related role. Working knowledge of spreadsheet formulas, calculations, and worksheet design. Experience with accounting terms, principles, and best practices.
- Must be reliable and extremely trustworthy.
- Must be proficient in Microsoft Office Suite
- Must be able to learn other accounting software systems
- Excellent organizational skills and attention to detail
- Ability to maintain confidential records
- Ability to maintain and retrieve filed and archived documents, records and information related to accounts payable function
- Typing and 10-key by touch with accuracy
- Basic mathematical aptitude
- Attention to details, data entry accuracy, alertness, excellent time management, tolerance to work stress and ability to meet due dates, ability to discern and resolve anomalies, abstract thinking, and application of logic to job duties and functions.
Certifications:
- TB clearance within previous 12 months.
