Purpose:
The Administrative Assistant provides operational support to facilitate the effective functioning of the programs at the Collaborative Bridges Wellness Center in West Garfield Park. Collaborative Bridges is a partnership of historic West Side Chicago safety net hospitals and community mental health agencies designed to ensure that the care needs of people experiencing behavioral health needs are supported in their community, especially after a hospital admission. Collaborative Bridges is State of Illinois funded Healthcare Transformation Collaborative comprised of Hartgrove Hospital, Humboldt Park, Health, The Loretto Hospital, Bobby E Wright Behavioral Health, Habilitative Systems, Inc., and Community Counseling Centers of Chicago.
This position performs administrative and receptionist duties for internal and external staff and clients at shared Wellness Center space in a timely manner and provides support to ensure integration and coordination of care between Collaborative organizations.
Duties and Responsibilities
- Assists in day-to-day operations (taking referrals, assembling client records, collecting client payments, posting payments on-line, and auditing client charts).
- Receives and responds to incoming calls in a professional manner.
- Monitors the general reception area, greets clients, staff, and visitors appropriately and professionally and responds to inquiries in a timely manner.
- Must have the ability to handle crisis situations, both over the phone and face-to-face.
- Complete clerical and support functions to ensure smooth operations of Wellness Center and Collaborative Bridges activities.
- Accuracy and proof-reading skills required. Ability to interact in a supportive and professional manner with clients and their parents or guardians, as well as agency staff.
- Proficiency in working with a scheduling database.
- Attention to detail is critical to the success of this position.
- Experience in multi-tasking environment with the ability to handle heavy amounts of calls daily.
- Maintains administrative and office related files, forms, databases, and office supplies.
- Must be able to organize and manage time appropriately and adapt to changing circumstances.
- Ability to communicate well verbally and in writing and a high degree of responsiveness to both internal and external customers.
- Flexibility and ability to report to different agency locations as needed and assigned, often with short notice.
- Other duties as assigned by C4 and Collaborative Bridges leadership.
Competencies (Minimum Skills, Knowledge, and Experience):
- Must have strong data entry skills and working knowledge of Microsoft Word, Excel, and Outlook.
- Excellent organizational skills, professionalism.
- Exceptional customer service skills
Minimum Qualifications:
- High School diploma or GED required.
- Bilingual skills (English/Spanish) are helpful but not required.
Salary : $46,000
