Job Summary:

The Administrative Assistant is expected to have strong administrative skills coupled with a solid understanding of legal procedures, including managing calendars, scheduling meetings, preparing legal documents, conducting research, and handling confidential information. This position reports directly to our CEO at our New Hyde Park Office, working 3 days in office and 2 days remotely to start.

Essential Duties:

  • Managing complex calendars and scheduling meetings for senior professionals.
  • Preparing and formatting legal documents, including contracts, letters, and presentations.
  • Conducting research and compiling relevant information.
  • Handling incoming calls and emails, prioritizing and directing inquiries appropriately.
  • Maintaining electronic and physical legal files with meticulous organization.
  • Arranging travel and expense reports for team members.
  • Preparing agendas and taking minutes during meetings.
  • Assisting with compliance and regulatory tasks as needed.
  • Assisting with project management and report preparation
  • Maintaining accurate records, including filing systems and contact databases
  • Other relevant duties as assigned

Required Qualifications:

  • Bachelor's degree or equivalent experience
  • Certified paralegal certificate or relevant paralegal experience
  • Excellent communication and interpersonal skills
  • Strong attention to detail and ability to prioritize tasks
  • Demonstrated ability to handle confidential information with discretion
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint

Job Type:

  • Full Time

Shift & Schedule:

  • Monday-Fridays 9am-5pm
  • 30 Min paid Lunch Breaks

Pay: $21.00 - $25.00 per hour
