We are seeking an Admissions Coordinator who serves as the first point of contact for individuals seeking behavioral health services. This role is critical in fostering a safe and supportive environment where clients feel heard and valued. The Admissions Coordinator is responsible for managing intake inquiries, coordinating initial assessments, verifying insurance benefits, and ensuring accurate and timely documentation. A strong emphasis is placed on empathy, confidentiality, and efficiency.

Job Duties and Responsibilities:

  • Serve as a primary contact for new and prospective clients, responding promptly and compassionately to inquiries.
  • Collect and verify client demographic, clinical, and insurance information with a focus on confidentiality and accuracy.
  • Coordinate and schedule initial assessments, psychiatric evaluations, or therapy appointments.
  • Conducts assessment for treatment and needs analysis and utilizes information to develop an individualized service plan based on the client's strengths, needs, abilities and preferences.
  • Work closely with clinical and administrative teams to ensure a smooth transition from intake to treatment.
  • Maintain up-to-date knowledge of program offerings, eligibility criteria, and referral processes.
  • Provide clear communication to clients regarding the admissions process, including necessary forms, expectations, and timelines.
  • Provide and/or arrange for crisis intervention services for clients.
  • Input and manage client data in the electronic health record (EHR) system with precision and confidentiality.
  • Assist with community outreach and referral relationships as needed.
  • Uphold ethical standards and client rights in accordance with HIPAA, state regulations, and agency policies.
  • Minimum High School Diploma or equivalent required.
  • Associates or Bachelor’s degree in Psychology, social work or a related field is preferred.
  • Must have a CDC-A certification in Ohio or be able to obtain within 60 days of employment.
  • Minimum of one year of experience in client intake, admissions or healthcare registration.
  • Exceptional interpersonal and communication skills.
  • High level of empathy, professionalism and cultural sensitivity.
  • Preferred experience with insurance verification and authorizations.
  • Proficient with Microsoft 365 applications, including Office Suite, Outlook and Teams.
  • Adept at learning and navigating electronic health record systems.
