DEPARTMENT: Hope Counseling
Reports to: Director Strategic Development
Summary: Under the supervision of the Director, performs a variety of clerical and support duties associated with the day-to-day activities of the Children’s Grief Support Services and Hope Counseling programs. This position ensures that referral sources are responded to in a timely, customer-centric manner, and that prospective clients are admitted efficiently and accurately.
RESPONSIBILITIES:
- Receives incoming referrals for the Hope Counseling and Children’s Grief Support services. Provides information regarding our programs and services to prospective clients, healthcare professionals and the community at large.
- Provide clerical duties for Hope Counseling to include but not limited to, answering telephones, appointment scheduling, use of EHR system, process admission paperwork, payments and filing.
3. Tracks client referrals, admissions, zip codes, etc. for monthly reporting needs.
4. Partners with the Clinical Supervisor to provide onboarding paperwork for Hope Counseling interns, as required for collecting hours for BBS licensure.
5. Assists the Bereavement Specialist in recruitment, education and training of volunteers.
6. Assists with grant development and/or other forms of reimbursement for services. Forms and submissions to be completed accurately and timely.
7. Collects data sufficient to meet both internal and external organizational needs and prepares monthly statistics report for internal and external stakeholders accurately and timely.
8. Provides information to individuals and community groups about Community Hospice & Health Services (CHHS) programs and services. Serves as a community resource through presentations to groups and individuals in our service area.
9. Follows all CHHS policies and procedures including, but not limited to, safety, infection control, privacy and confidentiality.
10. Performs other duties as assigned, including work in other areas to cover absences or relief to equalize peak work periods or otherwise meet the needs of the organization.

- Ability to adhere to and ensure compliance with CHHS and Hope Counseling policies and procedures, and federal and state hospice regulations as it pertains to the hospice and counseling programs.

Qualifications
Qualifications:
- Education, High School Diploma or GED required.
- Minimum one-year experience in a hospice, medical, clinical or social services setting preferred.
- Minimum one-year experience in a position that required successful administration and coordination of administrative duties and responsibilities.
4. Excellent computer data entry and database maintenance skills required. Experience with an electronic medical record program preferred.
5. Valid California driver’s license, reliable transportation, and current auto insurance.
6. Bilingual Spanish preferred.
WORK ENVIRONMENT: This position works in an office environment using a computer and general office equipment.
WORK SCHEDULE: Position is regular full-time required to work a regularly scheduled 40-hour workweek, with overtime as needed to meet the needs of the organization.
Salary : $18 - $24
