JOB RESPONSIBILITIES:
- Greets and welcomes members, their guardians/families and provides check-in assistance prior to the member’s scheduled appointment.
- Collects member payment and/or co-pays; enters/posts payment in EHR.
- Conducts phone calls to members to confirm appointments, and any follow-up calls for missed appointments.
- Schedules member appointments and coordinates internal and external meetings.
- Scans and uploads documents into electronic health record.
- Screens and routes incoming telephone calls and relays messages as needed.
- May screen, route and document incoming correspondence and faxes.
- Develops and maintains files, logs, manuals and handbooks, assuring that files are orderly, complete and updated in a timely manner.
- Maintains inventory of office supplies, forms and other clinic materials, such as brochures and flyers. Initiates supply/service requests.
- Initiates, tracks, and assists members during and after the benefit application process, including accepting member referrals for assistance and ascertaining member benefit needs
- Meets with individuals to complete benefit applications, such as AHCCCS, Medicare, SSI and other benefit resources. Assists the individual in gathering all pertinent information for application process, including obtaining any current insurance coverage information.
- Assists individuals with completing initial and renewal AHCCCS eligibility and enrollment in Health-e-Arizona Plus.
- Verifies and updates member demographic and benefit coverage information in the electronic health record (EHR), prior to scheduled appointment.
- Verifies insurance benefits and eligibility via CMS, Health-e-Arizona Plus or other health plan portals to confirm benefit coverage for medical and/or behavioral health services prior to scheduled appointment.
- Verifies method of payment for service (Medicaid, Medicare, private insurance, private payee, and any other contracted health plan).
- Updates member demographic and benefit coverage information in the electronic health record, as needed.
- During open enrollment, assists individuals with Marketplace applications. Tracks applications to ensure completeness and acceptance.
- Responsible for following any policies, procedures, and controls established by the organization, the HIPAA Privacy Officer, and/or the HIPAA Security Officer regarding access to, protection of, and the use of the PHI.
- Performs other related duties as assigned or necessary as they relate to the general nature of the position.
- Education – High School Diploma or G.E.D. required; Associate degree or equivalent combination of education preferred
- Experience – One (1) year of advanced administrative support experience in a medical setting. Medical and/or behavioral health clinic experience and knowledge of Electronic Health Records (EHR). Experience with accessing health plan portals to determine insurance coverage and co-payments for all patients.
- Minimum 21 years of age.
- DPS Level I fingerprint clearance (must possess upon hire and maintain throughout employment).
- CPR, First Aid, AED certification, if required (must possess upon hire and maintain throughout employment).
- Current, valid Arizona Driver’s License and 39-month Motor Vehicle Report and proof of vehicle registration liability insurance to meet insurance requirements, if required.
- Initial current negative TB test result, if required (Employer provides).
