The Executive Assistant will play a crucial role in ensuring the efficiency of daily operations by handling administrative tasks, supporting the finance department, managing scheduling, and assisting with payroll. The ideal candidate will be organized, detail-oriented, and capable of working independently in a fast-paced environment.
Key Responsibilities:
- Provide administrative support to the Executive Director, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Assist with payroll processing, ensuring accurate and timely submission of employee hours and related documentation.
- Support the finance department with filing, organizing financial records, and assisting with data entry as needed.
- Maintain confidential records and files, ensuring proper documentation and compliance with organizational policies.
- Prepare reports, correspondence, and presentations as needed.
- Assist in the coordination of meetings, board sessions, and special events, including preparing agendas and taking minutes.
- Handle incoming and outgoing communications, including phone calls, emails, and mail distribution.
- Serve as a liaison between the Executive Director and internal/external stakeholders.
- Perform general office duties, such as ordering supplies, maintaining office organization, and supporting staff as needed.
- Other duties as assigned to support the efficiency and effectiveness of the organization.
Qualifications:
- Education & Experience:
- Associate’s or Bachelor’s degree in Business Administration, Finance, or a related field preferred.
- At least 2 years of experience in an administrative or executive support role.
- Skills & Competencies:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office management software.
- Experience with payroll processing and financial record-keeping is a plus.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong attention to detail and problem-solving skills.
