As a result, we are seeking an Executive Assistant to work with our senior management team, headquartered in St. Louis, MO. We offer competitive compensation and a comprehensive benefits package.
Position Responsibilities:
The Executive Assistant will work closely with the Alitus Team across a variety of responsibilities including but not limited to:
- Supports senior management in a "Chief of Staff" capacity: assist as needed to properly advance key initiatives; manages operational vendor relations and performance services (phone, email, office, etc.); drives document management and execution for the deal review process; coordinates intricate calendar and travel management; provides comprehensive events planning.
- Provides complex/confidential administrative and operational services to Alitus’ Management Team, employees, portfolio companies, investors, and additional parties as may be identified by the company.
- Administration of various functions, including human resources/teaming components, operations, general administration, project/events management, and communications/marketing.
- Serves as the primary point of contact for ongoing office operations, maintenance, and improvement.
- Investor relations: cultivates solid relationships as the corporate liaison for outward-facing networking on behalf of senior management; assists with portfolio capital raises in communications development, fund tracking, and subsequent document management as required.
- Invoicing and bill pay for the Founder and Alitus, including using QuickBooks online.
In addition to these widely defined roles, the Executive Assistant will be expected to satisfy general clerical responsibilities, including:
- Coordinate scheduling of individual calendars and on-site facilities/conference rooms.
- Research and reserve travel arrangements.
- Finalize arrangements for in-office/offsite meetings, lunches, and celebratory events.
- Answer primary phone lines for Alitus.
- Greet and screen visitors/vendors professionally.
- Maintain/source vendor relationships.
- Receive, sort, and distribute incoming mail/courier deliveries and prepare outgoing mail/deliveries.
- Maintain supply/storage rooms, conference rooms, and common areas.
- Inventory and stock office, postage, and miscellaneous supplies.
- Manage corporate documentation (filing, printing, binding, etc.).
- Support new hire onboarding process.
- Update website content as needed.
- Perform varying degrees of data entry, typing, and other clerical duties.
- Run outside errands as necessary.
- Provide general office and special project support as needed, ranging from routine to complex.
The ideal candidate will also have adequate technical proficiency in the following areas:
- Serve as primary contact to 3rd party IT provider/overseer.
- Manage IT/phone vendor relationships.
- Provide basic support for office technology services, phone systems, phone trees, printers, PCs, personal devices, and all related equipment.
- Maintain inventory of technical / print equipment and supplies.
Position Requirements:
Candidate should have experience working in an office setting and demonstrate proficiency in the abovementioned responsibilities.
- Discretion and independent judgment
- PC, overall technical proficiency, and familiarity with MS Office required.
- Ability to operate office equipment including printers, scanners, fax machines, etc.
- Professional demeanor/appearance and ability to interact with individuals at all levels.
- Absolute integrity, detail-oriented, energetic, and strong interpersonal/written/oral communication skills.
- Strong work ethic and excellent attendance.
Salary : $55,000 - $75,000
