Responsibilities of the Administrative Assistant
LOCATION: Dublin, Ga
Responsibilities of the Administrative Assistant
- Supports Director/Coordinator daily in office-based tasks, completion of reports, collecting and sharing data about the health and productivity of the program.
- Help streamline processes and keep fidelity at the forefront of the program discussions with frontline staff, supervisors, UM, and Director/Coordinator based on assigned portion of IPR for each role.
- Run and share various reports by request of Director/Coordinator, maintain and create trackers for various data points, and review data with wrap supervisors when necessary.
- Create/gather supply need list for program weekly and submit to Director/Coordinator•
- Attend meetings for the program and with the Director/Coordinator/Supervisors to type meeting minutes for each meeting and send those to the Director/Coordinator.
- Check schedules of care coordinators daily. Report to wrap supervisors concerning gaps, incompletions, and other issues. Create a report tracking when youth on each care coordinator's caseload has been seen and track that they are being seen weekly for the appropriate duration.
- Assist care coordinators by making phone calls to families to check in when needed.
- Fill holes in schedules for care coordinators by communicating with care coordinators and the family.
- Assist with note writing for care coordinators and peers. Information from sessions would be provided and only typing the note would be
- Assist supervisors/Director/Coordinator with tracking productivity of care coordinators and peers.
- Communicate in office needs and issues with Director/Coordinator.
- File physical/paper documentation in filing cabinets and maintain filing system in office.
- Assist with coverage of the front office in the event that front desk staff is needed
- Any other duties as requested or assigned by Director/Coordinator

- High School Diploma/GED Equivalent
- Valid Georgia Driver’s License
- Effective verbal and written communication skills
- Strong interpersonal skills and the ability to work effectively with diverse communities
- Ability to work independently and in collaboration with others
- Experience with Microsoft 365 Office Products
- Ability to organize, prioritize and meet deadlines accordingly
